Job Overview
Unifor Local 2458 is looking for an enthusiastic, highly organized, and skilled permanent full-time Administrative Assistant to provide support to the Local Union Office.
The successful candidate will be working in a fast-paced, deadline-driven environment, supporting the membership and Local Union Officers, with the strong ability to prioritize and work independently.
Primary responsibilities may include:
- Perform daily administrative functions in a professional and punctual manner;
- Provide accurate information and exemplary service while managing emails and phone calls;
- Accounts receivable and accounts payable i.e. weekly banking, payroll, reconcile monthly union dues, prepare payments to various organizations and individuals;
- Process requisitions with appropriate approvals in a timely manner;
- Follow an organized filing/document management process;
- Work with multiple individuals to book conferences, training courses, and meetings;
- Organize travel arrangements and itineraries as required;
- Use independent judgment to compose, format, and edit letters, memos, and correspondence from the draft stage to finalization;
- Related duties as assigned.
Position Requirements:
- Post-secondary education, diploma/certificate holder or equivalent experience;
- At least 2 years’ experience in a similar role or equivalent;
- Experience in a unionized workplace is preferred;
- Strong proficiency in online meeting coordination (i.e. WebEx meetings);
- Strong project, event and time management skills, with the ability to juggle multiple tasks and projects at once while working within deadlines;
- Excellent interpersonal, written and verbal communication skills, including effective phone etiquette, to diverse audiences and attention to detail;
- Strong proficiency in Microsoft Outlook, Word, Excel and Access;
- Ability to solve problems and deal with ambiguous situations;
- Reliable transportation;
- Highly motivated self-starter with ability to work independently as well as in a team environment
Pay: $1,280.02 per week
