Position Summary
The HR Administrator plays a critical operational role within the HR department by supporting full-cycle recruitment, onboarding, training compliance, payroll, HR data management, and day-to-day administrative functions. This position requires a high level of accuracy, professionalism, and the ability to manage multiple priorities simultaneously in a fast-paced environment.
The ideal candidate is someone who thrives in a structured workflow, understands confidentiality, and can confidently support managers, new employees, and ongoing HR processes. This role ensures that every new hire entering Harmonize Family Services receives a smooth, well-coordinated hiring and onboarding experience, while maintaining precise HR records, compliance documents, and communication tracking systems.

Major Responsibilities
Administration
- Managing HR system, connecting all new employees to the HR system to ensure they complete their HR downloads
- Searching, liaising and coordinating staff with mandatory training
- Tracking employee training and certificates, making sure the mandatory training has been taken on time by reminding employees.
- Submitting employee timesheets for payroll to the finance team + ensuring all staff receive pay stubs on time
- Help ensure company’s policies are in compliance with accreditation standards
- Participating in and supporting special projects and tasks related to the Human Resources function, including policy updates, HR documentation updates, etc.
- Maintaining in depth knowledge of legal requirements and labour standards related to day-to-day management of employees, reducing legal risks and ensuring compliance
- Administering recruiting tools and applicant tracking systems, including job postings, reference checks, etc.
Personnel Support
- Overseeing employee concerns and conducting complex employee relations investigations as needed
- Managing procedures regarding workplace investigations, progressive discipline, and termination
- Attending staff, supervisory, and recruitment meetings to provide updates on HR practices as well as answering questions regarding HR processes and changes
- Managing employee personnel files
- Visiting programs as necessary to meet with staff, and facilitate HR processes and communication.
Qualifications:
- Bachelor's Degree/Diploma in Human Resources or a related discipline
- 2 years of HR experience
- Exceptional interpersonal and communication skills
- Self motivated with ability to prioritize and manage conflicting demands
- Ability to manage confidential information with professionalism and discretion
- Criminal Record check with a vulnerable sector and Child intervention record (Within a 6 month timeframe)
