CWT is seeking a Bilingual Administrative & Payroll Coordinator to support our office operations and act as a vital link between our Ontario and Quebec locations. This position combines administrative coordination, payroll support, driver pay administration, billing, and employee benefits administration in a fast-paced and team-oriented environment.

Responsibilities
Provide comprehensive administrative support to management, operations, and office staff to ensure the efficient day-to-day functioning of the organization.
Serve as the primary administrative liaison between the Ontario and Quebec operations, facilitating effective communication and coordination in both English and French.
Coordinate and support payroll administration for the Quebec operation, including collecting, verifying, and processing employee payroll information and timesheets.
Review, verify, and administer driver payroll for the Quebec fleet, ensuring accurate calculation of wages, mileage, and supporting payroll documentation.
Assist with employee benefits administration, including enrollments, updates, record maintenance, and employee inquiries.
Prepare, process, and maintain customer billing, invoices, and related documentation with a high degree of accuracy.
Maintain accurate and confidential payroll, employee, operational, and customer records in accordance with company policies and regulatory requirements.
Prepare reports, spreadsheets, and administrative documentation to support management and operational decision-making.
Coordinate office communications, scheduling, and administrative activities to support business operations.
Assist with onboarding documentation and general human resources administrative activities as required.
Collaborate with internal departments to support operational efficiency, compliance, and exceptional customer service.
Perform additional administrative and office support duties as assigned.
Qualifications
Fluency in English and French, both written and spoken, with the ability to communicate effectively with employees and management in Quebec and Ontario.
Minimum of 2 years' experience in an administrative, payroll, accounting, or office support role.
Experience processing payroll and administering employee benefits; experience with Payworks payroll software is considered a strong asset.
Knowledge of Quebec payroll practices, including timesheet review, payroll administration, and driver pay calculations, is preferred.
Experience preparing customer invoices, billing documentation, and maintaining accurate financial records.
Strong organizational, time-management, and multitasking skills with the ability to manage competing priorities in a fast-paced environment.
High level of accuracy and attention to detail, particularly when handling payroll, billing, and confidential employee information.
Proficiency with Microsoft Office Suite, including Excel, Outlook, and Word.
Excellent communication, interpersonal, and customer service skills.
Ability to work independently while collaborating effectively with multiple departments and locations.
Experience in the transportation, logistics, or trucking industry is considered an asset.
