Medical Office Assistant
Job Summary
We are seeking an experienced, enthusiastic, and organized Medical Office Assistant to join our growing healthcare team. Under the direction of the Director of Health, this role supports the coordination and administration of vaccine clinics. The position acts as the primary point of contact for clients, responding to inquiries, confirming clinic details, and coordinating logistics such as staffing, locations, vaccine and supply needs, equipment requirements, and clinic setup. The successful candidate will also work closely with pharmacy and healthcare teams to coordinate staffing schedules, manage operational changes, troubleshoot scheduling or supply issues, and help ensure clinics run smoothly and efficiently.

- Manage phone systems to handle incoming calls, schedule appointments, and address patient inquiries.
- Keeping exam rooms and common areas clean and organized.
- Assist with patient care e.g., rooming clients, taking vital signs.
- Maintain accurate electronic medical records (EMR) using systems such as Accuro.
- Collaborate with healthcare providers to facilitate excellent patient care.
- Handle administrative tasks with accuracy and efficiency.
- Ensure compliance with PHIA regulations and maintain patient confidentiality.
- Prepare and maintain vaccine clinic documentation, consent forms, reports, bookings, attendance records, and follow-up communications
Experience
- Graduate of a Medical Office Assistance training program preferred but an equivalent combination of education and experience will be considered.
- Minimum 3 years of experience in a healthcare, pharmacy, medical clinic, or administrative coordination role preferred.
- Familiarity with electronic medical records (EMR) systems, particularly Accuro.
- Previous experience coordinating appointments, clinics, events, or healthcare services is required,
- Experience working in a fast-paced, customer-service-focused environment with multiple competing priorities.

Operational Hours & Schedule:
Operational hours and Schedule are predominantly day shifts Monday to Friday with no evenings or work on stat holidays. This role will require you to work in multiple different locations and even at times from home. A reliable vehicle is required for this role.
Wages will be based on experience.

Pay: $20.00-$25.00 per hour
