Jane Norman College is looking for an Office Manager/Bookkeeper who will work with the Executive Director to manage
the organization’s financial operations and daily administrative functions within a licensed childcare and non-profit
environment. Key duties include handling accounts receivable and payable, processing payments, maintaining financial
records in Sage, supporting audits and grant processing, monitoring cash flow, and assisting with office systems, reporting,
and staff support.
The role also provides administrative and technical support, coordinates office procedures, manages communications and
social media tasks. The successful Office Manager/Bookkeeper must demonstrate strong organizational, communication,
and problem-solving skills in a collaborative busy work environment.

The Office Manager/Bookkeeper is full-time (35 hours per week) permanent position based at Jane Norman College in
Truro. Wages will be commensurate with education and experience ($26-29/hr). Total compensation will include paid
personal time, paid vacation, medical/dental benefits. Some travel within Truro/Bible Hill required.
Reporting to and working directly with the Executive Director, the position supports the organization through duties
including:
Working with Executive Director to manage day-to-day financial operations including accounts payable/receivable,
payment processing, bank reconciliations, and financial reporting.
Maintaining accurate bookkeeping records using Sage software and assist with audits, grants, and cash flow
monitoring.
Coordinating office administration processes, supplies, vendor accounts, and internal systems to ensure efficient
operations.
Providing technical and administrative support for staff using Microsoft Office, Google Workspace, Sage, and other
organizational technologies.
Supporting organizational communications, advertising, website updates, electronic signage, and social media
activities.
Working to comply with regulation and reporting under various legislation (comprehension of regulatory, and
reporting)
Collaborating with the Executive Director on operational planning, reporting, and process improvements.
Representing the organization professionally while delivering excellent customer service to staff, families, and
community partners.
Working with centres/programs to review or re-work reporting systems/processes, clarify expectations, and
generally enhance the organization’s ability to support staff (ability to understand multiple childcare centre
pressures and ability to carry out multiple assignments with various deadlines).
Qualifications and Core Competencies
Postsecondary education in Business, Accounting, Administration, or a related field, or equivalent experience
Experience in a non-profit, licensed childcare, or early learning environment considered an asset
Proficiency in bookkeeping, accounts payable/receivable, bank reconciliations, and financial reporting
Experience using Sage accounting software, Microsoft Office Suite, Google Workspace, and office
databases/systems
Knowledge of office administration, technical support, reporting, and process coordination
Understanding of early childhood education practices and childcare regulations in Nova Scotia considered an asset
Strong communication, interpersonal, customer service, and problem-solving skills
Excellent organizational, time management, multitasking, and attention-to-detail abilities
Ability to work independently, maintain confidentiality, and manage competing priorities
