Position Title: Project Accountant
About the Role:
Octo Mechanical Inc. is hiring a Project Accountant to own the financial heartbeat of our jobs from kickoff through closeout. You’ll partner with project managers, the Controller, and ownership to make sure every project is budgeted accurately, tracked tightly, billed on time, and closed out cleanly. Key Responsibilities and Duties
Budgeting & Planning
- Build project budgets alongside estimators and PMs
- Develop cost forecasts
- Set up jobs in our accounting system so they’re ready to track from day one
Cost Tracking
- Track every cost hitting a job — labor, materials, equipment, subcontractors, rentals, freight
- Code and review invoices, time, and POs to keep job cost data clean, current, and reconciled to the GL
Client & Vendor Relations
- Communicate with clients regarding scope clarifications and bid requirements.
- Build and maintain strong relationships with suppliers, contractors, and customers.
- Coordinate RFIs (Requests for Information) as required during the bidding process.
LEM Tickets
- Ensure daily Labor, Equipment, and Material (LEM) tickets are signed by the customer or GC in the field, collected promptly, matched to costs, and filed against the right job and change order.
Change Orders
- Prepare, submit, and track change orders through approval.
- Make sure approved CO scope and dollars are reflected in budgets, cost codes, and the next billing cycle — and chase down the ones sitting unsigned.
Progress Billing
- Run progress billings and millstone billing accurately and on time.
- Manage retention, stored materials, lien waivers, and the supporting backup each customer requires.
Billing Cutoff
- Drive the monthly billing cutoff: confirm every job is reviewed, LEMs are in, change orders are captured, costs are coded to the right period, and nothing billable slips into next month.
Variance Analysis
- Compare actual cost and revenue to plan, dig into the drivers behind variances, and give PMs the numbers they need to course-correct before small issues turn into write-downs.
Compliance & Documentation
- Keep jobs aligned with GAAP and company accounting policy
Payroll
- Collaborate with Payroll to ensure hours billed and hours paid are accurate.
Qualifications
- 2-3 years of experience with project accounting
- Accounting diploma/degree or related field preferred
- Strong leadership and communication skills
- Ability to plan work under tight deadlines and changing site requirements
