OMAC Mississauga North is seeking a friendly, organized, and professional Administrative Officer / Receptionist to serve as the first point of contact for our students, families, and prospective members. This role is responsible for supporting daily front-desk operations, customer service, scheduling, communication, and administrative tasks, while helping to create a positive and welcoming environment for our martial arts community.
Key Responsibilities: Front Desk & Customer Service
- Greet students, parents, and visitors in a professional and welcoming manner.
- Answer phone calls, emails, text messages, and social media inquiries.
- Provide information regarding programs, memberships, schedules, events, and promotions.
- Assist prospective students with trial class bookings and registration.
Administrative Support
- Maintain accurate student records and attendance.
- Process registrations, membership agreements, payments, and renewals.
- Prepare and organize administrative documents and reports.
- Manage appointment scheduling and follow-up communications.
- Assist with inventory tracking and ordering of uniforms, equipment, and supplies.
Student & Parent Relations
- Build positive relationships with students and families.
- Respond promptly and professionally to questions and concerns.
- Support student retention initiatives and membership renewals.
- Assist with event registrations, belt testing administration, and special programs.
Marketing & Communications
- Assist with social media engagement and basic content posting.
- Support community outreach initiatives and promotional campaigns.
- Help coordinate special events, open houses, birthday parties, camps, and school programs.
Facility Operations
- Ensure the reception area remains clean, organized, and professional.
- Assist with opening and closing procedures.
- Support instructors and management with daily operational needs.
Qualifications
- Excellent verbal and written communication skills.
- Strong customer service and interpersonal skills.
- Professional, positive, and team-oriented attitude.
- Strong organizational and multitasking abilities.
- Comfortable using computers, email, spreadsheets, and office software.
- Ability to work independently and take initiative.
- Previous administrative, receptionist, retail, customer service, or martial arts school experience is considered an asset.
