Position Overview
KCC is seeking a professional, organized, and student-focused Front Desk Administrator to be the first point of contact for students, staff, and visitors. This role is essential in ensuring smooth day-to-day operations of the campus and providing high-quality administrative support.
Key Responsibilities
Front Desk Administration
- Provide a professional and welcoming front desk reception service, including efficiently and courteously answering and redirecting incoming calls, emails, and messages
- Manage the company phone line, including setup, maintenance, and daily operational use
- Greet visitors to the college, ensure proper sign-in procedures are followed, and promptly notify the relevant staff member
- Maintain safety logs and ensure that lighting, fire extinguishers, equipment, electrical systems, plumbing, and locks comply with safety standards
- Open and close the campus in accordance with established procedures, and support on-campus organizations by conducting daily housekeeping inspections
- Maintain campus cleanliness and general operational readiness across all areas
- Assist at college events by supporting reception, ensuring smooth visitor flow, and disseminating information effectively
- Maintain inventory of stationery and reception materials, including general inventory management, and reorder supplies as needed with approval from the Campus Director
- Coordinate phone line setup and ensure ongoing functionality of communication systems
- Ensure overall campus organization and cleanliness standards are consistently met
Student Services Support
- Track attendance for work experience students and report any concerns or instances of non-compliance to the Campus Director
- Collect, verify, and process all Criminal Record Checks in accordance with institutional policies
- Maintain accurate and up-to-date student contact and emergency information
- Monitor student attendance and academic progress to ensure compliance with college policies
- Collect study permits, file them appropriately, enter expiry dates into the LMS, and issue reminders to ensure updated permits are received and recorded
- Prepare archival files for submission to the Registrar and PTIRU
- Coordinate book orders and provide quotes to Accounting based on class size and attendance
- Track all book codes and issued physical textbooks, and distribute e-book access codes to students
- Manage registry document mailing and ensure accurate and timely delivery of official documents
LMS & Curriculum Management
- Respond to student inquiries regarding the Learning Management System (LMS)
- Create, load, and manage class batches within the Learning Management System (LMS), ensuring all class materials and resources are current and meet deadlines
- Perform new batch creation, including structured setup at least three months in advance of program start dates
- Support ongoing batch updates and make-up day scheduling within ClassTrack
- Enter students into appropriate classes and batches under the direction and support of the Registrar
- Communicate important student service information to students in a timely and effective manner using appropriate channels (email, phone, LMS notifications)
- Provide basic troubleshooting and support for ClassTrack-related technical and administrative issues
- Generate and distribute Zoom links to instructors for scheduled classes and sessions
- Support LMS and system coordination to ensure smooth daily academic operations
Academic Operations & Program Coordination
- Coordinate and support academic scheduling, ensuring alignment with program requirements
- Assist with certification bookings and tracking as required by program standards
- Support co-op and practicum administration where needed, including scheduling, documentation, and coordination
This position offers an opportunity to be an integral part of a dynamic team while utilizing your administrative expertise to support daily operations.
Pay: $40,000.00-$45,000.00 per year
