We are seeking a full-time Program Coordinator to join our Support Team to help coordinate the inbound and outbound student programs and deliver critical support and service to program participants, host families, Local Coordinators, placement schools and to our international exchange partners around the world.
Under the direction of the Program Manager/Supervisor, the Program Coordinator is crucial to the support and coordination of student programs in Canada and abroad.
Major duties and responsibilities will include but not be limited to:
- The Program Coordinator works directly with inbound students, host families in specified regional areas, in coordination with local coordinators and also with outbound students and families, providing program supports, along with local placement schools and international exchange partners.
- Delivers key inbound program pre-arrival details and liaises with international exchange partners and domestic parties regarding program specifics (arrival details, placement details, school registration, and any other details pertinent to the inbound student program).
- Facilitates delivery of outbound program details (review and assess applications, communicate admissions decisions, coordinate flights, insurance, deliver host family details, provide study permit/visa documentation, and any other details pertinent to the student program.) Oversee and maintain regular communication of outbound student pre-departure program updates, details and documentation to participating students and parents to prepare pre-departure; sending regular communications to participants (orientation documents, guidebooks, language learning tools, academic planning information)
- Communicates with Canadian placement school boards/schools regarding inbound student registration, academic documentation, and on-going programming supports.
- Support, host and contribute to the student and host family orientations (inbound student orientation requires offsite commitment for the full period days/evenings for student arrival orientations) and online hosted orientations.
- Coordinate and chaperone student trips in Canada for inbound programs, working with the YES Canada preferred tour provider.
- Provide on-going support and counselling to students for the duration of the program on a wide range of issues: adjustment, homesickness, culture, language learning, academics, health, social, personal and host family matters.
- Maintain open communication channels for students and provide necessary program documents for student success (student newsletters, travel permissions, release forms, program rules and warning letters.)
- Monitor inbound student/host success and relationships providing direct support, troubleshooting, counsel, mediation and assistance in navigating cultural differences and challenges, seeking guidance and direction from Program Manager/Supervisor to resolve challenges. Issue guidance, warning and probation notices as relevant, and outline programming parameters.
- Work directly with local coordinators conducting regular check-ins and monitoring and oversee program progress including the collection and review monthly monitoring reports from local coordinators to communicate to international exchange partners.
- Monitor outbound student/family program progress in liaison with the agent abroad and natural parents providing support, troubleshooting, counsel and assistance in navigating cultural and linguistic differences and other issues. Collect and review monitoring reports from agents abroad to communicate to natural family.
- Maintain student, homestay and program database and submit homestay and coordinator payment/invoices.
- Create, maintain and update program documents and resources for students, homestay and coordinators in coordination with Program Support Team directives.
- Design, develop and implement new resources and supports as necessary for students, families, host families, coordinators and partners to continue to improve upon program servicing. Develop webinars and interactive program resources.
- The Program Coordinator will be available on a scheduled on-call basis for emergency line duties.

Qualifications, Skills & Abilities:
· College or undergraduate university degree in related field
· Experience in international education / education, counselling, communications, hospitality, program facilitation/coordination
· Experience working in education or with high school students, families and/or international clients is an asset
· Working knowledge and understanding of the Canadian High School Education system
· Knowledge and awareness of various cultures
· Excellent communication and interpersonal skills; very high level of written, verbal and listening communication skills
· Has experience dealing with complex interpersonal situations with colleagues, students, families, etc. and a strong ability to handle sensitive information and conversations
· Proven ability to problem solve & mediate
· Ability to work independently and work as part of a team
· Ability to work under pressure or in a fast-paced environment within tight deadlines, maintaining a strong attention to detail
· Excellent ability to multi-task and prioritize tasks and adapt quickly
· A positive and optimistic people-person with a solutions-focussed approach
· Experienced in the use of Microsoft, particularly Outlook, Word, Excel and SharePoint.Mac applications experience preferable.
Other Requirements
· The position requires a valid driver’s license and at least 5 years continuous driving experience and comfort in driving with other passengers and for long distances
· The position is an in-person office-based role, located in Bracebridge, Ontario
· The position involves working with minor students and as such the successful candidate must be willing to provide and obtain a clear criminal reference check
Hours:
On regular weeks, the schedule consists of 5 days per week from 8:30am to 5pm. However, the working hours involved in this position will be subject to and determined by the demands of the position. Alternative hours, including evenings and weekends, with overnights or periods of time out of the office will be required as necessary.
Job begins July 2026.
Pay: $55,000.00-$58,000.00 per year
