We are currently seeking a Service Coordinator / Junior Service Advisor to join our Service Department. This position is ideal for someone with strong communication and organizational skills who is interested in developing a career in automotive service.
The Service Coordinator / Junior Service Advisor will act as an important point of contact between our service clients, Service Advisors, technicians, and other dealership departments.
The successful candidate will be responsible for answering incoming service calls, scheduling appointments, obtaining and communicating vehicle updates, assisting with repair orders, coordinating completed vehicle deliveries, and supporting the day-to-day operations of the Service Department.
This position requires someone who is professional, organized, patient, and comfortable managing multiple customer requests in a fast-paced environment.
- Answer incoming Service Department calls in a prompt, friendly, and professional manner.
- Respond to service inquiries received by phone, email, and other dealership communication channels.
- Schedule, confirm, reschedule, and cancel service appointments.
- Gather accurate information regarding the client’s vehicle and service concerns before booking an appointment.
- Assist clients with basic questions regarding dealership services, maintenance requirements, appointment availability, and service procedures.
- Communicate with Service Advisors to obtain vehicle repair and maintenance updates.
- Provide clients with timely and accurate updates regarding the status of their vehicles.
- Direct technical, pricing, warranty, and repair-authorization questions to the appropriate Service Advisor.
- Assist with opening, reviewing, updating, and organizing repair orders and work orders.
- Ensure customer contact information, vehicle information, concerns, and requested work are accurately recorded.
- Help coordinate completed vehicles for pickup or delivery.
- Forward completed work orders and related documentation to the appropriate department or team member.
- Assist with contacting clients when their vehicles are ready.
- Follow up with clients regarding missed appointments, outstanding service recommendations, and post-service satisfaction.
- Send appointment confirmations, reminders, and other service-related communications.
- Maintain accurate customer records and service notes within the dealership’s customer-management and dealer-management systems.
- Work closely with Service Advisors, technicians, parts staff, porters, and management to support an efficient service workflow.
- Help manage customer concerns professionally and escalate complex matters to the Service Manager or appropriate Service Advisor.
- Support clients during service check-in and vehicle pickup when required.
- Explain manufacturer-recommended maintenance intervals within the scope of the position and refer detailed recommendations to a Service Advisor.
- Assist the Service Department with administrative duties and general operational support.
- Perform other duties as assigned by the Service Manager or Fixed Operations Manager.
- High school diploma or equivalent.
- Valid Ontario Class G driver’s licence with a clean driving record.
- Previous customer-service, reception, call-centre, scheduling, or administrative experience.
- Previous automotive dealership or service-department experience is an asset but not required.
- Strong verbal and written communication skills.
- Professional and courteous phone manner.
- Strong organizational skills and attention to detail.
- Ability to manage multiple calls, appointments, customer requests, and administrative tasks simultaneously.
- Ability to remain calm, patient, and professional when assisting clients with concerns or complaints.
- Comfortable working in a busy, team-oriented environment.
- Strong computer skills and the ability to learn dealership-management, customer-management, and appointment-scheduling systems.
- Basic knowledge of automotive maintenance and repair terminology is an asset.
- Willingness to learn Kia maintenance schedules, dealership procedures, and Service Advisor responsibilities.
- Ability to communicate clearly with clients who may have varying levels of automotive knowledge.
