About the Role
FIRTH Engineering Ltd is seeking an experienced, detail-oriented Administrative Assistant to join our Edmonton office. This role goes beyond traditional reception and administrative support — the successful candidate will be a key contributor to the quality and timeliness of our client deliverables, including formal engineering reports and invoicing.
This position is best suited to a professional who takes ownership of their work, communicates clearly, and thrives in a structured, document-driven environment.
Responsibilities
- Prepare formal inspection reports from field notes for engineer review and approval, ensuring accuracy, consistency, and professional presentation.
- Review documents for deficiencies and apply corrections prior to engineer sign-off.
- Ensure all finalized reports and invoices are issued to clients daily.
- Perform accurate data entry and maintain client, account, and project records in the FIRTH Engineering database.
- Regularly update customer and account information.
- Handle incoming calls professionally, providing accurate information and directing inquiries appropriately.
- Provide exceptional customer service to clients in person and by phone.
- Represent FIRTH Engineering's values through professional conduct in all interactions.
- Other general office duties as required.
Qualifications
- College diploma or undergraduate degree required.
- Minimum 5 years of experience in a professional office environment (required).
- Minimum 2 years of data entry experience (required).
- Demonstrated proficiency in Microsoft Office Suite, particularly Word and Excel.
- Strong written English skills with the ability to produce clear, polished, client-facing documents.
- Experience with invoicing or billing in a professional services environment is strongly preferred.
- The ability to learn and apply technical and industry-specific terminology accurately.
- Experience in engineering, construction, oilfield, or a related technical industry is a significant asset.
- Familiarity with the crane or heavy equipment industry is a plus.
- Strong attention to detail, time management, and organizational skills.
- Fluent written and spoken English (required).
Work Hours & Location
- Monday to Friday, 40 hours per week (salaried).
- Full-time, in-office position in Edmonton.
- One week of onboarding training at our Calgary office is required.
- Occasional evening or weekend work may be required.
Compensation & Benefits
- Salary: $55,000 – $75,000 (commensurate with experience).
