Overview
We are seeking a detail-oriented and customer-focused Leasing Coordinator to join our property management team. This role is vital in ensuring smooth leasing operations, maintaining positive tenant relationships, and supporting the overall property management functions. The ideal candidate will have strong administrative skills, experience with property management software, and excellent communication abilities. Key Responsibilities:
Application & Documentation Management
- Review incoming leasing applications for completeness and eligibility based on established screening criteria.
- Prepare and send lease packages and related documentation via DocuSign.
- Track document returns and follow up to ensure completion prior to next steps.
Lease Finalization & Deposit Tracking
- Verify deposit confirmation with accounting prior to issuing final lease agreements.
- Issue final lease documents via DocuSign and ensure all tenant records are updated accordingly.
Sales & Operational Support
- Provide general support to the leasing team, including assistance with administrative tasks, client communication, and record keeping.
- Reviewing processes and communication templates to support positive tenant relationships
Reporting
- Reconciliation review for WYSE utilities
- Tacking actual property vacancies
- Invoice review and tracking
Miscellaneous Tasks
- Building Stack integration
- Tasks as required

- Initiative – Proactively follows up on tasks and tenant issues.
- Problem Solving – Handles complex tenant issues and complaints with tact and resourcefulness.
- Collaboration – Works closely with the Property Management Team for smooth operations
Skills
- Proficiency in Building Stack or similar property management software is highly preferred
- Strong office experience with excellent organizational skills
- Previous administrative experience in a real estate or property management setting is advantageous
- Effective sales skills with the ability to negotiate lease terms confidently
- Exceptional customer service skills to build positive relationships with tenants and prospects
- Knowledge of property management practices, including familiarity with CMMS systems is a plus
- Ability to perform accurate data entry and maintain detailed filing systems
- Excellent phone etiquette and communication skills for professional interactions
- Ability to multitask efficiently in a fast-paced environment while maintaining attention to detail
