Tasks and Responsibilities
- Assist in onboarding volunteers for Afro-Carib Fest, including conducting outreach to local community groups, youth, existing volunteer network, and partner organizations.
- Support the screening and placement of volunteers into appropriate festival roles based on skills, interests, and event needs.
- Assist in developing volunteer schedules, shift assignments, timelines, and clear role descriptions to ensure smooth festival operations.
- Help coordinate volunteer orientation sessions, training materials, and pre-event briefings to prepare volunteers for their duties.
- Assist volunteers during Afro-Carib Fest activities, ensuring they understand tasks, receive guidance, and stay engaged throughout the event.
- Provide on-site logistical support, including managing volunteer check-ins, distributing materials, and addressing questions or challenges that arise.
- Assist in maintaining accurate volunteer records, including sign-in sheets, attendance, and role assignments.
- Help foster a positive and inclusive environment that encourages volunteer retention, teamwork, and community engagement.
- Support post-event volunteer appreciation activities, such as volunteer party, feedback collection, and recognition efforts.
- Collaborate with HSDC staff to ensure volunteer operations align with the festival's goals, safety protocols, and community values.

1. Volunteer Management & Coordination
- Strong project management skills
- Strong leadership and supervisory skills
- Organizational and time management skills, with the ability to manage multiple activities and deadlines
- Experience with volunteer management, such as recruitment, onboarding, engagement, and retention is a strong asset
- Ability to screen and place volunteers based on skills, interests, and operational needs
- Ability to develop clear role descriptions, expectations, and workflows for volunteers
- Experience coordinating large groups of volunteers, ideally in festivals, events, or community programs is a strong asset
- Ability to manage real-time logistics during events, including volunteer check-in, deployment, and issue resolution
- Availability to work flexible hours, including weekends, leading up to and during Afro-Carib Fest
- Strong problem-solving skills and ability to adapt in fast-paced or community-based environments
2. Scheduling & Operational Planning
- Strong organizational and logistical planning skills, including shift scheduling and timeline development
- Experience managing volunteer schedules across multiple roles
- Ability to anticipate operational needs and allocate human resources effectively
- High attention to detail in planning, coordination, and execution
3. Training, Onboarding & Leadership
- Experience facilitating volunteer orientations, briefings, or training sessions
- Ability to clearly communicate expectations, procedures, and event protocols
- Strong leadership and supervisory skills, including the ability to guide and support youth volunteers
- Confidence in managing groups and maintaining structure in dynamic environments
4. Communication & Stakeholder Engagement
- Excellent interpersonal and communication skills for interacting with volunteers and staff
- Ability to maintain calm, professionalism, and efficiency under pressure
- Strong written and verbal communication skills
- Ability to build relationships with diverse groups, including youth and seniors
- Strong conflict resolution and de-escalation skills
- Ability to foster a welcoming, inclusive, and engaging volunteer experience
- Ability to promote teamwork and morale among volunteers
5. Data Management & Administration
- Ability to maintain accurate volunteer records, attendance, and role assignments
- Strong administrative and documentation skills
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace (Docs, Sheets, Forms, etc).
- Be between 15 and 30 years of age at the start of employment
- Be a Canadian citizen, permanent resident or a person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act for the duration of the employment.
- Be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations.
- International students are not eligible participants.
