Precision Wealth Family Office is a boutique advisory firm serving high-net-worth professionals, entrepreneurs and their families on a multi-generational basis. We provide custom financial planning, portfolio management (through Q Wealth) and advisory services as a multi-family office. We are seeking an experienced, highly organized Administrative Associate to help deliver the excellence and attentive client service that distinguish a premier advisory practice.
The role of the Family Office is to be proactive and out in front of their clients. In this role, you will be working with the leaders of the Family Office to provide proactive administrative and client service support, ensuring the promises we make are fulfilled in an accurate and timely manner. The ideal candidate brings excellent judgment, precision, and a client-first mindset, along with the discretion and professionalism required in a high-trust environment.
Key Responsibilities
· Manage new and existing client processes for financial planning and portfolio management activities.
· Coordinate annual meetings and tasks for each family group where proactivity is the focus.
· Complete follow-up after client meetings, including creating workflows for meeting action items and ensuring all related tasks are completed for clients. This will include the collection of financial planning documents, portfolio management items and distribution of client documents.
· Coordinate portfolio management items such as cash management, debits, payments and withdrawals for the portfolio managers.
· Create, maintain, and update accurate client files to support compliant, highly detailed client information across the firm’s systems, including our internal CRM and portfolio management platforms such as D1G1T and NBIN Compass.
· Respond to client inquiries in a timely, professional, and solution-oriented manner, and ensure clients are connected with the appropriate team member for further assistance when required.
· There will be additional responsibilities and project work such as coordination of quarterly and annual client reporting and marketing communications.
Qualifications & Skills

· Excellent organizational, analytical, and time management skills, with meticulous attention to detail.
· A proactive, self-directed approach, including the ability to anticipate needs, take initiative, solve problems, and follow through reliably.
· Sound judgment and discretion in handling confidential client information and sensitive matters.
· The ability to improve processes thoughtfully and effectively use of Microsoft Office and detailed CRM system.
· Experience with CRM, portfolio management, or custodian platforms. Familiarity or direct experience with D1G1T and NBIN Compass is considered a strong asset.
· 5-7+ years experience in an advisory firm.
· Candidates with detailed client focus administration in other high-service, detail oriented environments may also be considered.

Pay: $55,000.00-$80,000.00 per year
