Position Overview
We are an international trading company specializing in electronic products. We are seeking a detail-oriented, numerically strong, and highly organized Accounting & Operations Assistant / General Manager Assistant.
This position is ideal for a graduate in Accounting, Finance, Business Administration, or a related field who is interested in accounting, international trade, customer relations, and business operations.
The position includes three main areas of responsibility:
- Reconciling accounts, orders, payments, and transaction records with business partners;
- Communicating with customers and providing daily sales and operational support;
- Assisting the General Manager with business coordination and administrative matters.
Key Responsibilities
Accounting and Reconciliation
- Regularly reconcile accounts and transaction records with business partners.
- Review purchase orders, sales orders, invoices, payments, refunds, credits, and outstanding balances.
- Verify product quantities, models, unit prices, transaction amounts, and payment amounts.
- Cross-check bank records, partner statements, internal system records, and Excel spreadsheets.
- Identify and investigate missing entries, duplicate entries, payment discrepancies, quantity discrepancies, and unapplied payments.
- Monitor accounts receivable and accounts payable and prepare lists of outstanding and overdue balances.
- Prepare reconciliation worksheets, transaction reports, and internal management reports.
- Maintain organized records of invoices, payment confirmations, orders, and reconciliation documents.
- Promptly report significant discrepancies and unusual transactions to the General Manager.
- Assist external accountants by preparing and providing required financial records and supporting documents.
Customer and Sales Operations Support
- Communicate with customers daily through WhatsApp, WeChat, telephone, and email.
- Respond to questions regarding products, pricing, inventory, payments, shipping, and orders.
- Share available inventory and quotations with existing customers and follow up on their purchasing requirements.
- Follow up on quotations, order confirmations, payments, shipments, and after-sales matters.
- Assist the Miami sales team with follow-up communication and order processing for newly developed customers.
- Coordinate the resolution of customer, order, payment, shipping, and operational issues.
- Maintain accurate customer information, order records, and communication records.
General Manager Support
- Assist the General Manager in organizing business documents, customer information, and operational reports.
- Schedule meetings, record key action items, and follow up on outstanding tasks.
- Coordinate communication among the General Manager, employees, customers, and business partners.
- Follow up on business and administrative matters assigned by the General Manager.
- Promptly report account discrepancies, customer concerns, and operational issues.
- Perform other related duties as required.
Qualifications
- Bachelor’s degree or higher; a degree in Accounting, Finance, Business Administration, or a related field is preferred.
- Fluency in both Chinese and English, including speaking, reading, and writing.
- Spanish or Portuguese language skills are considered a strong asset.
- Accounting knowledge and the ability to independently reconcile accounts, orders, and payments.
- Strong numerical ability and exceptional attention to detail.
- Proficiency in Microsoft Excel, including formulas, sorting, filtering, and data-matching functions.
- Strong customer service, communication, organization, and problem-solving skills.
- Ability to manage accounting, customer communication, and administrative responsibilities simultaneously.
- Strong sense of responsibility, confidentiality, and follow-through.
- Must be legally authorized to work in Canada.
- Must be able to work full-time on-site at our Toronto office in the M3B 3E1 area.
Preferred Qualifications
- Experience in account reconciliation, bookkeeping, accounts receivable, or accounts payable.
- Experience in international trade, sales support, order management, or operations coordination.
- Experience in the electronics, mobile phone wholesale, import/export, or logistics industries.
- Familiarity with QuickBooks or other accounting software.
- Experience communicating with international customers through WhatsApp or WeChat.
- Proficiency in Spanish or Portuguese.
Compensation and Employment Terms
- Annual salary: CAD $60,000–$85,000, depending on accounting experience, language abilities, and relevant international trade or sales operations experience.
- This is a regular full-time employee position, not an independent contractor position.
- The successful candidate will be employed through the company’s Canadian payroll and will receive a T4 slip.
- Income tax, CPP, and EI contributions will be deducted and remitted through payroll.
- Vacation pay, statutory holidays, and other employment entitlements will be provided in accordance with applicable Ontario employment standards.
- All compensation and employment arrangements will be formally documented and processed through standard payroll procedures.
Work Arrangement
This is a fully on-site position at our Toronto office in the M3B 3E1 area. Remote or hybrid work is not available.
The Miami sales team is primarily responsible for new customer development and in-person customer visits. The Toronto team is primarily responsible for daily communication with existing customers, quotations, order follow-up, account reconciliation, and issue resolution.
