LiftbossJCB. is looking to hire a full-time Service administrator for their Calgary Branch.
Experience is always a benefit, but most importantly we are looking to find someone with a good work ethic, willing to learn, work as part of a team.
Job duties include, but not limited to:
- Answer and direct incoming Service Department phone calls and customer inquiries.
- Enter technician labour and repair stories into the service management system.
- Review technician documentation for completeness and follow up on missing information when required.
- Maintain work order documentation and ensure files are complete and ready for invoicing.
- Process hauling, sublet and miscellaneous approved service charges.
- Process service-related vendor invoices and maintain supporting documentation.
- Invoice completed field service work orders and assist with invoicing shop work orders during absences or peak workload periods.
- Submit customer invoices through customer billing portals and supplier invoicing systems.
- Process COD payments and maintain customer purchase orders and billing requirements.
- Maintain customer contract labour rates, billing instructions and special customer requirements.
- Assist with Preventive Maintenance (PM) agreements, service contracts and PM scheduling administration.
- Prepare service reports, maintain open work order reporting and support month-end activities.
- Maintain accurate customer, equipment and service records within the service management system.
- Create service-related purchase orders when authorized.
- Provide backup support for Service Dispatch during vacations, absences and periods of increased workload, including scheduling field service calls and Preventive Maintenance work.
- Support the Service Office Administrative Manager and Shop Service Writer with daily administrative activities.
- Cross-train with other Service Administration team members to provide departmental coverage.
- Perform other related duties as assigned.
Required Skills:
- Ability to multitask.
- Ability to time manage.
- Proficiency in Microsoft applications such as: Excel, Outlook and Word.
- Experience with Epicor/Silk software an asset.
- Attendance and punctuality.
- Must posses a confident, Professional appearance and strong communication skills, with the ability to engage positively with customers.
