The Clinical Data Coordinator role involves providing essential support to the Clinical staff and ensuring a smooth experience for our valued patients at the PCC. In this capacity, the clinical Data Coordinator is responsible for assisting the clinical team with tasks such as handling referrals for the pre-habilitation, mental wellness and RAC programs, directing all referrals to the appropriate PCC staff members and serving as the initial point of contact for Pre-habilitation and Mental Wellness patients. They will also be tasked with setting up RedCap accounts, connecting patients to the online portal, and scheduling clinic appointments to facilitate comprehensive patient care. The Clinical Data Coordinator will also be in charge of administrative tasks such as setting up rooms for classes, coordinating consultant schedules, and taking minutes in clinical meetings.
Over 8 weeks, the student will develop a combination of professional, technical, and interpersonal skills required in oncology. They will learn to maintain confidentiality, communicate with empathy, support research or patient care processes, and work effectively within a multidisciplinary healthcare team. By the end of their placement, the student will demonstrate improved confidence, data management skills, and an understanding of the healthcare environment, preparing them for future roles in medicine, nursing, or biomedical research

Operations: 95%
Patient Care Duties
- Receive and review referrals for all clinical programs using the Accuro system.
- Assess the nature of each referral and determine the appropriate PCC staff member for handling it. Redirect referrals to the relevant PCC staff for further processing.
Pre-habilitation Program Administrative Support
- Serve as the first point of contact for Pre-habilitation patients, providing initial support and guidance.
- Set up RedCap accounts for Pre-habilitation patients as required, ensuring data collection and management for research purpose.
- Establish and connect patients to the online patient portal for accessing their health records and relevant information.
- Schedule clinic visits for Pre-habilitation patients to see their Family Physician and Pre-habilitation Nurse, coordinating appointment times with medical staff and patients effectively.
- Liaison with Kinesiologist, Clinical Exercise Physiologist, monitors and other consultants as required.
- Exercise and Patient Education Support: Assist in the delivery of exercise and education programming to enhance patient engagement and participation. Support patients in understanding and completing prescribed prehabilitation exercises, adapting to individual needs and abilities. Conduct patient follow-ups to encourage continued participation and identify barriers to engagement
- Resource Development and Program Improvement: Support the creation, updating, and organization of Prehab patient resources (both digital and printed). Contribute ideas and feedback for program improvement, innovation, and expansion. Collaborate with the Prehab team to ensure educational materials reflect current evidence and patient needs
Mental Wellness Program Administrative Support
- Serve as the first point of contact for Mental Wellness patients, providing initial support and guidance.
- Liaison with Psychologists, Counsellors, volunteers, and other consultants as needed to facilitate seamless coordination of services.
- Assist with the collection on research patient reported outcomes throughout the patient’s mental wellness journey.
- Schedule clinic visits for mental wellness patients to see Mental Health Nurse Clinician and/or Psychologist(s) coordinating appointment times with medical staff and patients effectively.
- Support with set up for You're Not Alone. I set up food and get the space ready; this would be a task that will be simple for the student to do. The student could be present for the evening as support, often there are patients who are quiet, the student could help by ensuring people are engaged in conversation
- Review of databases such as Redcap and Input Health
Pre-op class
- Liaise with AHS staff and AHS pre-admission clinic and assist as needed with class. Obtain list of patients and ensure all pre op questionnaire packages are sent out via email day of class
Office Administration Responsibilities
- Coordinate and set up classrooms for various classes, ensuring a conducive learning environment.
- Manage and organize consultant schedules, ensuring smooth coordination. Prepare and distribute relevant materials for classes and meetings in a timely manner.
- Liaison and communicate effectively with PCC clinical team, SAIU MOAs and Urologists.
- Assist in optimizing the patient portal processes to enhance overall clinic efficiency.
Other: 5%

Education:
- Post-secondary education or currently enrolled as a student in Biology/Kinesiology program
Experience:
- Microsoft Office 365, ZOOM
- Proficient at PC computer skills Word, Excel, PowerPoint.
Knowledge & Skills:
- Strong oral and written skills
- Ability to function effectively in team situations or while working independently
- Strong attention to detail
- Research experience
