About the role
We are seeking a highly organized office administrator to support our team. As an office administrator, you will play a crucial role in ensuring the smooth operation of our office. Your attention to detail, exceptional organizational skills, and ability to handle confidential information will be key to your success in this role.
The administrative assistant would be responsible for ensuring a harmonious office environment by coordinating and facilitating administration and ancillary activities.
The Administrative Assistant will work directly with the founder providing reliable, timely, and efficient support. This role has an array of responsibilities which include the following but are not limited to:
- Develop, prepare, and compose a wide variety of correspondence and documents including emails, letters, meeting agendas and minutes.
- Draft, edit and proofread correspondence reports, letters of intent, agreements, proposals, and presentations on behalf of the team.
- Assist in the development of formal written external communication such as written publications and quarterly reports.
- Support analysts with various projects by performing various administrative duties.
- Serve as a liaison between the internal team members and external stakeholders.
- Assisting in planning and organizing meetings, conferences, and special events.
- Support the founder in various projects along with general office duties as required.
Qualification
- Proficient in MS Outlook, Word, Excel, and similar tools, managing multiple tasks, projects, and deadlines effectively, with a proven ability to learn customized software/tools.
- Meticulous attention to detail in documents, scheduling, and administrative tasks.
- Exceptional time-management skills for optimizing executive schedules, handling urgent matters, and maintaining focus on strategic priorities.
- Proficient in clear and professional verbal and written communication, engaging effectively with stakeholders while maintaining confidentiality.
- Reliable, punctual, and take initiative; you’re not afraid to wear many hats.
- Professional and able to practice discretion with highly sensitive information.
- The ability to exercise professionalism, political acumen, confidentiality and discretion, resolve conflicting priorities, and work in an environment with multiple demands.
- Proven ability to prioritize and meet multiple and/or unexpected deadlines
Salary and Benefits
- Competitive Salary ($40,000 - $50,000) depending on experience.
