Position Summary:
The Supply Chain Analyst is responsible for supporting purchasing, supply planning, logistics, inventory management, and related administrative activities to ensure the efficient flow of products and information across the supply chain. Working closely with suppliers, customers, and cross-functional teams, this role helps maintain inventory availability, optimize operational efficiency, and deliver high levels of customer service while supporting the company's overall business objectives.
Work Location:
This position requires regular work at both our Mississauga and Richmond Hill locations. The successful candidate must be able to travel between both offices as required.
Key Responsibilities:
Purchasing/Supply Planning
· Act as the primary point of contact with CMOs for purchase order management by creating POs based on the rolling purchase forecast and ensuring deliveries are received and routed according to schedule.
· Collect sales orders from export customers based on their rolling forecasts, verify pricing and pick-up dates, and create corresponding export purchase orders.
· Support the Supervisor in preparing monthly rolling forecasts for each CMO.
· Monitor purchase order, production, and delivery status; expedite urgent orders and help resolve shortages, delayed deliveries, and other supply issues.
· Coordinate with Accounts Payable to reconcile supplier invoices, packing slips, and purchase orders for timely payment, ensuring accurate PO receipts, quantities, and lot numbers.
· Perform monthly reconciliation of product label and folding carton inventories with the Controller for each CMO.
· Review monthly PO receipts and coordinate with Finance to close CMO backorders and maintain accurate ERP records.
· Support inventory planning to maintain target customer service levels for existing and new products.
· Maintain the accuracy of SKU master data and product information in NetSuite.
· Prepare regular backorder summaries and short-dated inventory reports for internal stakeholders.
· Support procurement activities, including supplier negotiations, pricing, contract terms, RFQs, and RFPs.
Logistics / Warehousing
· Support freight rate negotiations with carriers and freight forwarders for domestic and international shipments.
· Coordinate shipment details and shipping documentation with domestic and international CMOs for air, ocean, and ground transportation.
· Review packing lists, invoices, and shipping documents to ensure accuracy of quantities, pricing, lot numbers, and customs documentation.
· Act as the primary point of contact with CMOs and export customers for shipment pick-ups and coordinate timely PO receiving and sales invoicing with the Finance team.
· Organize and maintain electronic records of import and export shipping documents for future reference and audits.
· Monitor inbound shipments and container status, including customs clearance, and coordinate with freight forwarders and customs brokers to resolve shipment delays and customs issues.
· Prepare inbound shipment notifications for the 3PL warehouse, Quality Assurance, Orders, and Accounts Payable teams, and expedite receiving and product release when required.
· Coordinate the procurement of temperature monitoring devices for individual CMOs.
· Work with the Accounts Payable team to reconcile or dispute freight, warehouse, and carrier charges.
· Escalate scheduling and appointment issues between freight forwarders, carriers, and the 3PL warehouse.
· Support regular communication with the 3PL warehouse to resolve issues related to inbound receiving, order fulfillment, shipping, inventory management, and quality.
Others / Ad hoc Activities
· Serve as a courteous and responsive point of contact for internal stakeholders (Finance, Marketing, Orders, QA, RA, Sales) and external partners (CMOs, freight
forwarders, carriers, customs brokers, testing laboratories, 3PL providers, and customers).
· Complete customer-required reports and templates, including backorder reports, open PO updates, vendor confirmations, and product availability reports.
· Prepare ad hoc reports and data analyses as requested by the Supervisor.
· Participate in special projects and other duties as assigned.
Qualifications & Experience:
· Post-secondary degree or certificate in Supply Chain Management, Logistics, Business Administration, or a related field.
· Minimum of 2 years of experience in purchasing, supply planning, inventory management, or other supply chain functions.
· Results-oriented with the ability to manage multiple priorities in a fast-paced, dynamic environment.
· Proficiency with NetSuite (or another ERP system) and Microsoft Office, particularly Excel.
· Strong analytical, problem-solving, and organizational skills.
· Excellent written and verbal communication skills, with the ability to communicate effectively with internal and external stakeholders.
· Highly detail-oriented, proactive, and eager to learn, with the ability to troubleshoot complex operational issues.
· Experience in retail, consumer packaged goods (CPG), distribution, or a related industry is an asset.
· Experience in the pharmaceutical industry or another Health Canada-regulated environment is strongly preferred.
· Fluency in English is required. Proficiency in Portuguese and/or French is considered an asset.

Pay: $51,000.00-$66,000.00 per year
