ROLE SUMMARY:
The Administrative Assistant role provides direct, effective and efficient administrative support to the Chief Executive Officer, Director, Programs & Professional Practice, and other Safehaven leadership staff.
Reporting to the Director, Programs & Professional the Administrative Assistant works as a part of the Shared Services team for all administrative needs for Safehaven, to implement and sustain quality of care and service delivery, such as implementation of key organizational strategies, such as the achievement of Accreditation through Accreditation Canada, and alignment of goals with the Safehaven Strategic Planning.
RESPONSIBILITIES:
- Creating internal and outgoing correspondence, reports, minutes, etc.;
- Providing support for Finance Manager, Human Resources, and Director of Programs and Professional Practice, including ad hoc reporting, research, and report/spreadsheet development;
- Updating of policies and assists in developing/managing of new policies and procedures;
- Organizing and setting up meetings/teleconferences/interviews (setup, coordination, etc.);
- Always acts in a respectful and effective manner with all people, in a manner that recognizes, affirms and values Safehaven;
- ·Provide any support possible to front-line staff who are caring for clients and their families.
- Other duties may assign to you by your supervisor and indirect supervisor according to the needs of the business/ organization
QUALIFICATIONS:
- Working towards a university degree;
- Experience in a similar role;
- Ability to work with the Safehaven leadership team, while also being able to work directly with the front-line staff to solve issues and problems as they occur;
- Strong oral and written communication, and time and project management skills;
- Excellent computer skills, particularly Microsoft Office Suite, and Excel specifically;
- Excellent interpersonal skills, problem solving and written/verbal communication skills;
- Detail-oriented with ability to prioritize tasks independently, accurately complete work under tight deadlines, and provide timely and accurate responses to data requests;
- Required to respond to a flexible work schedule involving shifts and/or emergency needs of the location;
- Takes personal accountability for all steps through to completion of tasks within prescribed deadlines;
- Desire to work for an organization that is committed to providing exceptional service and be an ambassador of Safehaven values to provide services to clients and families.
