Position Title: Receptionist/Administrative Assistant
Location: The Candora Society, Edmonton, AB
Employment Type: Full-time, 30 hours per week, 9 weeks (funded through the Canada Summer Jobs program)

ABOUT THE ROLE
The CANDORA Society is looking for a Receptionist/Administrative Assistant to work out of our Family and Community Resource Centre located upstairs in the Riverview Crossing mall. This position is the first point of contact for community members, participants, and visitors entering CANDORA. This role helps create a warm, welcoming, trauma-informed environment and supports smooth daily operations across programs. This position provides reception coverage, general administrative assistance, printing, and promotional support, hands-on support for community events and program activities. Essential to ensuring that the diverse individuals who access CANDORA – newcomers, families, seniors, youth and participants facing multiple barriers – receive respectful, clear and culturally responsive service.
DUTIES INCLUDED, BUT ARE NOT LIMITED TO THE FOLLOWING:
Reception and front-line support
- Greet all visitors in a friendly, respectful, and culturally, responsive manner.
- Answer phones, direct inquiries, and provide accurate program information.
- Support participants with simple tasks such as photocopying, printing, scanning, and accessing forms.
- Maintain a tidy and welcoming reception area that reflects CANDORA’s values.
- Support participant sign-in processes and ensure accurate tracking of visitors.
- Monitor general email inquiries and forward messages to the appropriate staff.
Administrative Support
- Print, update, and organize program posters, brochures, calendars, and promotional materials.
- Assist in distributing updated materials across CANDORA sites and program areas.
- Photocopy, collate, and prepare handouts, intake forms, and resource packages for staff and facilitators.
- Support staff with basic computer tasks suck as editing documents, printing or locating shared information.
- Maintain office supply stock, including printing paper, toner, and general reception materials.
- Track usage of general resources (eg. forms, brochures) and restock as needed.
Date Entry
- Tracking visitor information, drop-in usage numbers, and inquiry details into internal tracking systems.
- Maintain monthly reception activity records and ensure accuracy of data for reporting.
- Support file organization, scanning, filing and secure document shredding
Community Program and Event Support
- Assist with setup, takedown, and logistics for community-based events, workshops, and program activities.
- Prepare materials, signage and promotional items for events.
- Help greet participants and direct them to appropriate spaces during events.
- Support engagement activities such as distributing flyers, assisting with participants registration and organizing resource tables.
Participant and Staff Support
- Provide respectful, trauma-informed support and referrals to participants seeking information or resources.
- Maintain appropriate, professional boundaries and confidentiality at all times.
- Work collaboratively with all CANDORA staff to ensure safe and coordinated service delivery.
- Attend team meetings and participate in planning sessions as required
QUALIFICATIONS, SKILLS & COMPETENCIES
- Strong ability to respond to a wide variety of people from different backgrounds with kindness, empathy, and clarity.
- Digital Literacy skills including the ability to use email (outlook), Microsoft Word, and database software.
- Strong ability to communicate clearly over the phone
- Strong oral and written communication, interpersonal and team skills
- Self-directed, and an ability to work with minimal supervision
- Commitment to the vision, mission, values, and beliefs of the CANDORA Society
- Clear understanding of professional boundaries and ethics
- Strong organizational, time management and problem-solving skills
- Experience with Canva considered an asset
- Police Security Check required
ELIGIBILITY REQUIREMENTS
To be eligible for this position, applicants must meet the following criteria:
- Be between 15 and 30 years of age at the start of employment
- Be a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act
- Have a valid Social Insurance Number and be legally entitled to work in Canada
- Not be an immediate family member of an employee of CANDORA
Employment type: Temporary full-time position (30 hours per week) for 9 weeks
Hours of work: Monday to Thursday, 9:00 a.m. – 4:15 p.m., Fridays 9:00 a.m. – 12:00 p.m. (30 hours per week). Schedule may vary based on events and operational needs
Expected Start Date: June 15 or 22, 2026
Wage: $15.00/hour
