Position: Office Manager

We are seeking a driven, results-oriented Office Manager to lead our multidisciplinary clinic with a strong focus on sales growth, team training, leadership excellence, and exceptional customer service.
This is a high-accountability role for someone who thrives on hitting targets, building systems, and developing high-performing teams.
Core Responsibilities
Sales & Target Achievement
- Establish and hit monthly revenue and booking targets
- Track and improve KPIs
- Strengthen front desk sales performance and phone conversions
- Implement strategies, contests, and accountability measures
- Analyze clinic metrics and take corrective action
You must be comfortable working with numbers and driving measurable growth.
Training & Performance Systems
- Develop and implement structured onboarding and ongoing training
- Train reception on sales conversations, objection handling, and follow-up systems
- Ensure staff productivity and performance during downtime
- Run effective staff meetings focused on growth and accountability
This role is responsible for elevating performance — not maintaining status quo.
Leadership & Ownership
- Lead by example in punctuality, professionalism, and dependability
- Take ownership of operational challenges and implement long-term solutions
- Reduce after-hours issues by equipping and training the team effectively
- Maintain strong leadership presence during high-pressure situations
Customer Service Excellence
- Ensure exceptional patient experience at every interaction
- Monitor follow-ups and retention systems
- Address concerns proactively and professionally
- Build systems that exceed patient expectations
Additional Duties
- Oversee day-to-day clinic operations
- Manage booking, billing (Insurance/MVA/WSIB), payroll, and reporting
- Monitor clinic, reception, and personal KPIs
- Implement marketing initiatives and vendor coordination
- Ensure policies, procedures, and office standards are maintained
Minimal routine reception coverage — primary focus is leadership and growth.
Qualifications
- 2–5 years management and/or sales experience
- Proven ability to hit targets
- Strong leadership and team development skills
- Excellent communication and customer service skills
- Highly organized, independent, and solution-oriented
- Calm under pressure and decisive
Compensation & Schedule
- 35–40 hours/week
- Evening and occasional weekend availability
- $48,000–$52,000/year
