The Executive Coordinator provides high-level administrative, operational and strategic support to the Chief Administrative Officer, ensuring the efficient functioning of the executive office. This role acts as a trusted partner to the executives they support by coordinating priorities, managing workflows and enabling effective decision-making. The Executive Coordinator supports organizational goals by overseeing administrative processes, facilitating communication across teams, coordinating projects and maintaining a high standard of professionalism and confidentiality. Through proactive problem-solving, attention to detail, strong relationship management and exceptional organization skills, the Executive Coordinator enhances executive productivity and contributes to the overall effectiveness of the organization. Required Qualifications:
Diploma in Office Administration, Business Administration or related field. Minimum three years of experience providing executive support. Equivalencies in education and experience may be considered.
Additional Required Qualifications:
Demonstrated ability to effectively manage multiple tasks, deadlines and competing demands while using structured systems to support smooth executive workflows. Demonstrated ability to remain calm, flexible and solutions-oriented in a fast-paced environment. Proactive approach to identifying issues, analyzing root causes and implementing practical solutions that enhance executive decision-making. Clear and professional communication skills with strong business writing abilities for briefings, correspondence and other executive-level documents. Demonstrated ability to build trust, collaborate effectively across all levels of the organization and navigates competing interests with tact and diplomacy. Highly proficient in Microsoft 365 and other digital productivity tools.
Preferred Qualifications:
Bachelor’s degree in Business Administration, Communications, Public Administration or related field. Project management certification (e.g., CAPM, PMP-lite or microcredentials). Experience in project coordination, strategic planning support or office/operations management.
