Your Role at Manion
We are looking for a motivated and service-oriented Front Office & Pension Communications Associate to join our Pension Services team in Woodbridge. This is an excellent opportunity for a recent graduate from a Business Administration or related program who is looking to launch their career in a professional, client-focused environment.
In this role, you will serve as the first point of contact for members and visitors while supporting key pension administration processes behind the scenes. You will play a critical role in delivering a positive member experience, supporting the intake and processing of pension applications, and ensuring the accuracy and confidentiality of sensitive information.
What to Expect
- Serve as the first point of contact for visitors and members, providing professional, friendly, and knowledgeable service
- Respond to pension-related inquiries and guide members through applications, eligibility requirements, and option selections
- Receive and register incoming pension applications, ensuring completeness and following up on missing information
- Process pension option packages and elections with a high degree of accuracy and attention to detail
- Prepare and distribute outgoing pension documentation via secure email or mail
- Monitor shared inboxes and respond to internal requests promptly and professionally
- Provide administrative support to the Pension Services team, including document handling and scheduling
- Assist with coordination of meetings and events, including support for Board meetings
- Maintain an organized, professional front office environment
What to Expect in Your First 90 Days
In your first 30 days, you will:
- Learn our internal systems and processes for pension administration
- Gain an understanding of our services, clients, and member inquiries
- Build relationships with your team and key internal stakeholders
By 60 days, you will:
- Handle basic member inquiries independently
- Begin processing pension applications and assisting with option packages
- Demonstrate strong understanding of documentation and workflow requirements
By 90 days, you will:
- Confidently manage front-line interactions with members and visitors
- Process pension documentation with accuracy and minimal oversight
- Contribute to a smooth and efficient front office and pension administration function
What You Bring to the Team
- Recent graduate with a Diploma or Degree in Business Administration or a related field
- 1–2 years of customer service experience, ideally in a role involving in-person interaction with clients or customers (e.g., retail, hospitality, banking, or office reception)
- Strong customer service mindset with a positive, professional demeanor
- Excellent communication skills (verbal and written)
- Strong interpersonal skills with a demonstrated ability to collaborate effectively in a shared role, maintain positive working relationships, and contribute in a team-first environment
- Highly organized with strong attention to detail
- Ability to manage multiple priorities in a fast-paced environment
- Strong problem-solving skills and ability to handle sensitive situations with tact
- Proficiency in Microsoft Office and ability to learn new systems quickly
- Exposure to or familiarity with using AI tools in a professional or academic setting (e.g., research, drafting communications, process support) is considered an asset
- Ability to speak Italian or Portuguese is considered an asset, but not required

Compensation
At the time of this posting, the estimated annual base salary pay range for this position is $50,000–60,000. Individual compensation within this range is determined by factors such as job-related skills, relevant experience, and education/training. This range reflects the annual base salary only and does not encompass our comprehensive total rewards, benefits, and potential bonuses that we proudly offer.
