Strong & Associates Chartered Professional Accountants has been serving corporate, small business, and personal tax clients for over 15 years.
Having grown from a team of two in 2011 to over 20 professionals today, our continued success is built on a foundation of professionalism, reliability, and a commitment to high standards in client service and internal operations.
Our administrative team plays an essential role in supporting both our clients and our professional staff. This position reports directly to our Administrative Services Manager and works closely with colleagues across the firm.
(A small, non-shedding Havanese-mix named Gigi is also part of the team.)

Key Responsibilities
- Serve as the first point of contact for clients, ensuring a professional, organized, and efficient experience in person, by phone, and via email
- Manage incoming client communication with judgment and professionalism, responding to routine inquiries and ensuring timely escalation of more complex matters
- Coordinate scheduling, document intake, and preparation of materials for signing or client pick-up in accordance with established procedures
- Organize and maintain client information in both electronic and paper formats with a high degree of accuracy and consistency
- Prepare routine correspondence and documents for review, including draft responses to CRA requests for information
- Provide administrative support to the professional team, including word processing and data entry
- Assist with client billing processes, including preparation and editing of pre-bills for review
- Maintain accurate and up-to-date client contact information across systems
- Learn and apply firm administrative procedures, privacy requirements, and service standards
- Present a consistently professional image aligned with the firm’s values and client expectations
Qualifications & Skills
- Post-secondary education in administration or a related field, or equivalent experience in a professional office environment
- Demonstrated ability to build professional rapport and maintain a welcoming, respectful client experience
- Strong organizational skills with the ability to manage a high volume of information accurately and efficiently
- Proven attention to detail, particularly when handling sensitive or time-sensitive information
- Strong proficiency in Microsoft Office (Word and Excel), with the ability to produce accurate, well-formatted documents
- Excellent written and verbal communication skills in English
- Ability to take direction, ask questions, and adapt to changing priorities
- Ability to work independently while contributing effectively as part of a team
- A reliable and consistent approach to meeting deadlines
Assets:
- Experience in a professional services environment (e.g., accounting, legal, or financial services)

Pay: $44,000.00-$55,000.00 per year
