Agency Assistant / Agency Coordinator
The Halos Agency is seeking a highly organized, motivated, and detail-oriented Agency Assistant to support the daily operations of our growing talent, marketing, and content agency. This role is ideal for someone who thrives in a fast-paced environment, enjoys organization, and is passionate about helping businesses, creators, and talent succeed.
Responsibilities:
- Manage and organize agency emails, files, contracts, and client records.
- Respond to general inquiries and provide professional customer service.
- Assist with client and talent onboarding processes.
- Conduct outreach to businesses, brands, and potential clients.
- Help coordinate marketing campaigns and promotional initiatives.
- Maintain organized digital filing systems and databases.
- Schedule meetings, consultations, content shoots, and appointments.
- Assist with social media planning, content organization, and administrative support.
- Track project deadlines and ensure tasks are completed efficiently.
- Prepare documents, spreadsheets, and reports as needed.
- Support agency leadership with daily administrative and operational tasks.
Qualifications:
- Strong organizational and time management skills.
- Excellent written and verbal communication abilities.
- Proficiency with Google Workspace and Microsoft Office.
- Ability to multitask and work independently.
- Professional and positive attitude.
- Experience with social media, marketing, administration, or customer service is considered an asset.
- Detail-oriented with strong problem-solving skills.
- Previous administrative or office experience is preferred but not required.
