Position Summary
We are seeking a self-motivated and results-driven individual to play a lead role in streamlining program operations by creating policies, procedures and processes related to program delivery, improvement and evaluation as required by program funders to be in compliance with funding guidelines and contractual agreement. The position is also responsible for quality assurance and conducting internal periodic audits on service delivery standards.
Key responsibilities
- Support in maintaining project work plans for the ongoing progress and execution of project deliverables.
- Track, monitor and report on project statistics and outcomes as assigned by the funder
- Refine policies, procedures and processes (decision models) for service delivery including participants screening process, intake, needs assessment, case management, wraparound support, training stipend, experiential learnings, and job placements.
- Conduct periodical internal audits on client files and service delivery standards
- Ensure compliance with internal policies as well as Ministry guidelines
- Support overall project delivery and provide guidance to the project team on project related matters
- Monitors Participants Activity Tracker reports and produce statistical and narrative reports
- Manage client management system and support program staff with logistical questions
- Ensure client data is reported regularly, accurately and in a timely manner
- Review all wraparound and personal support forms and confirm amounts paid to clients are in line with our policy and funding guidelines
- Review all training stipend and job placements applications and approve amounts as per funding guidelines.
Employer and Stakeholder Engagement
- Work with the Program Manager to develop an employer outreach and engagement strategy, including targets and deliverables, to secure job placements and employment opportunities for program participants.
- Establish new employer contacts and strengthen current employer contacts through outreach activities such as cold calls, mass mailings, social media, and individual employer visits.
- Build strategic partnerships with key stakeholders from different sectors and industries.
- Undertake period environmental scans to identify high growth/demand sectors and organizations to generate new leads.
- Match newcomer women’s interests, skills and experience to job leads, assess suitability for positions, forward resumes, coordinate interviews with client and employer, and follow-up to determine next steps.
- Function as a trusted consultant for employers to identify solutions to challenges related to hiring and retention.
- Conduct employers satisfaction and impact surveys.
Minimum Requirements
- Completion of a Post-secondary degree in business administration, marketing, public relations, human resources or related fields or related training and experience. We will not consider candidates w/o an undergraduate degree
- Three (3) years of experience in project management. PMP is not required, but is an asset
- Three (3) years of experience in a similar role.
- Thorough knowledge of all facets of job search and career development, workplace practices, job search strategies and techniques including an understanding of labour market trends and resources.
- Strong track record of leading large scale projects with multiple stakeholders involved.
- Demonstrated success in building and growing relationships with a diverse range of organizations and stakeholders.
- Metrics-driven with a track record of success in meeting or exceeding targets.
- Strong communication and presentation skills.
- Strong research and data analysis skills and ability to gather and synthesize information from multiple sources.
- Advanced proficiency in the use of MS Office Suite including Word, Excel, Outlook and PowerPoint
