As we continue to grow, we are looking for a highly organized, proactive, and detail-oriented Executive Assistant & Operations Coordinator to support our Founder & CEO and help drive the day-to-day operations of the business.

Position Overview
The Executive Assistant & Operations Coordinator will serve as the right hand to the founder, providing administrative, operational, marketing, and project support across multiple areas of the business.
This role is responsible for helping keep projects moving forward, supporting client onboarding, coordinating events, managing schedules, organizing resources, and ensuring operational excellence behind the scenes.
The successful candidate is highly organized, tech-savvy, proactive, resourceful, and able to anticipate needs before they arise.
Key ResponsibilitiesExecutive Support
- Manage email communications and follow-up
- Assist with travel arrangements and itineraries
- Prepare meeting agendas and documentation
- Track action items and ensure follow-through
Project Coordination
- Maintain project plans and task lists
- Track deliverables and deadlines
- Coordinate initiatives across multiple clients and internal projects
- Follow up with team members and vendors
- Assist with implementation of new systems and processes
Client Success & Onboarding
- Coordinate onboarding of new coaching and advisory clients
- Ensure client accounts and systems are set up properly
- Prepare onboarding materials and welcome packages
- Support ongoing communication with clients
Marketing & Content Support
- Coordinate social media scheduling and content posting
- Assist with creation and formatting of presentations and training materials
- Manage resource library organization in Kajabi
- Support website updates and content management
- Coordinate email marketing campaigns in Kajabi
- Assist with promotional materials
Event & Workshop Coordination
- Coordinate virtual and in-person events
- Manage registrations and attendee communications
- Liaise with venues, sponsors, and vendors
- Coordinate event logistics and materials
- Support speaking engagements and educational programs
Operations & Administrative Support
- Create and format SOPs, templates, and internal documents
- Maintain organized systems and file structures
- Support reporting and KPI tracking
- Assist with invoicing and administrative tasks
- Identify opportunities to improve efficiency and processes
QualificationsRequired
- Exceptional organizational skills
- Strong written and verbal communication skills
- High attention to detail
- Proficiency with Google Workspace, Microsoft
- Experience managing multiple projects simultaneously
- Ability to work independently and take initiative
Preferred
- Experience in the dental industry
- Familiarity with Kajabi and Loveable
- Experience coordinating events or educational programs
- Experience creating professional presentations and documents

Pay: $28.00-$35.00 per hour
