Canadian Alliance Terminals is a 3rd party logistics warehouse with a portfolio of customers weighted towards consumer-packaged goods, featuring a spectrum of supply chain models from domestic production to offshore contract manufacturing. Working out of the shipping office, the Operations Coordinator is the gatekeeper for 44 docks and 54 trailer parking stalls, acting as the conductor that orchestrates activities performed by customer service, warehouse operations, and customer carriers to optimize the daily flow of inbound and outbound shipments.
Essential Duties & Responsibilities
1) Strategically evaluate all inbound and outbound shipment requests that come through any and all communication channels. Arrange, and confirm weekly dock appointments (by triggering ‘Approve and Schedule’ in Opendock), to ensure delivery appointments are met, detention fines & late penalties are avoided, CAT warehouse labor capacity is optimally deployed, and maximize CAT warehouse throughput.
a. Drive shipment requests to exclusively come through Opendock, by informing, educating, and persuading requestors.
b. Identify patterns of tardiness, and work with internal and external stakeholders to change behaviours.
2) Update and maintain information posted in Opendock, which displays the live status of all shipments, ensuring that fields such as ETA, container type, container unloading progress, etc. are current.
a. Report and address any carrier or customer issues with dock appointments
3) Strategically coordinate, facilitate, and schedule container drops and pick-ups to ensure both detention and demurrage are not incurred, lumper capacity is optimally deployed, and maximize CAT warehouse throughput.
4) Check-in and log all pick-up and delivery drivers, visitors, and contractors at the shipping office window and assign trucks to dock doors using the Opendock Yard Management System.
a. Ensure drivers are explained and comply with CAT house rules
b. Collect and archive container seals / numbers where applicable
c. Collect driver’s initials
d. Drive check-in traffic towards the self check-in kiosks
5) Perform multiple daily walks of all dock staging areas (inside), and the yard (outside), to log the status of inbound and outbound shipments; expediting past-due shipments with internal and external stakeholders.
a. Date-tag all past due pallets on the dock
b. Perform daily matériel count (pallets and consumables)
6) Be the central hub for all shipping paperwork. Collect, organize, file, and quickly retrieve receiving documents, pick-slips, and bill-of-ladings when they are needed.
7) Be the central hub for all internal and external phone and e-mail communication to the shipping office. Respond in a timely manner to a high volume of inquiries and correspondence pertaining to shipments.
8) Generate and maintain reports pertaining to the dock and yard for Operations management.
9) Champion the use to the latest technologies and continuously improve shipping office operations processes.
10) Act as the eyes and ears of CAT Operations and CAT Transportation. Identify opportunities to improve customer satisfaction and drive potential new business. Document and raise those opportunities with management.
11) From time to time, assist the Warehouse Operations and CSR teams with other clerical duties.
Pay: $50,000.00-$60,000.00 per year
