Overview
We are seeking a motivated and detail-oriented Service & Warranty Coordinator to join our dynamic team. In this vital role, you will be the key point of contact for warranty claims, service documentation, and customer communication. You will work with the Service Manager to schedule jobs, administration and customer communication plus solely handle warranty claims by gathering necessary documentation, scheduling failure analysis for the claim in our service shop, document results and communicating with suppliers and customers on claims. Your energetic approach will ensure smooth operations, accurate record-keeping, and exceptional customer service that aligns with our commitment to excellence.
Duties
- Process warranty claims efficiently by reviewing documentation and ensuring all necessary information is complete and accurate
- Coordinate with technicians and suppliers to facilitate timely warranty evaluations, approvals, and parts replacements
- Maintain detailed records of service activities, warranty submissions, and related correspondence
- Communicate proactively with customers regarding warranty status, service updates, and follow-up actions
- Support the service department by scheduling appointments, managing service orders, and tracking work progress
- Ensure compliance with manufacturer warranty policies and company procedures at all times
- Assist in preparing reports on warranty trends, service performance, and operational metrics to support continuous improvement
Skills
- Knowledge of heavy-duty diesel engines, trucks, or related parts is a strong advantage but not mandatory. Automotive service administration is also an asset
- Strong organizational skills with keen attention to detail and accuracy
- Excellent communication abilities to liaise effectively with customers, technicians, and suppliers
- Ability to multitask efficiently in a fast-paced environment while maintaining a positive attitude
- Proficiency in computer software such as MS Office Suite; experience with dealership or service management systems is a plus
- Ability to interpret warranty policies and technical documentation clearly and thoroughly

Job Types: Full-time, Permanent
Pay: $24.52-$35.25 per hour
Expected hours: 42.0 per week
