Position Summary
As a Patient Care Coordinator at our centralized call centre, you will serve as the first point of contact for our patients. You will be responsible for answering inbound calls, scheduling and managing appointments, responding to patient inquiries, and supporting multiple dental practices across our network.
Success in this role requires excellent communication skills, attention to detail, the ability to multitask, and a genuine passion for providing exceptional customer service.
While dental experience is an asset, it is not required. We are happy to train candidates with strong customer service or call centre experience who are eager to learn and grow with our organization.
Key Responsibilities
- Answer incoming calls promptly, professionally, and courteously.
- Schedule, confirm, cancel, and reschedule patient appointments.
- Respond to patient inquiries and provide accurate information regarding appointments, services, and office policies.
- Direct calls to the appropriate practice or department when required.
- Manage patient communications through phone, email, and text messaging.
- Assist with appointment optimization and schedule management to maximize provider productivity.
- Document patient interactions accurately within our practice management software.
- Maintain patient confidentiality and comply with privacy regulations.
- Collaborate with Practice Leaders and clinic teams to ensure seamless patient care.
- Meet departmental productivity, quality, and service standards.
- Deliver a positive patient experience with every interaction.
Qualifications
- Previous customer service or call centre experience is preferred.
- Exceptional verbal and written communication skills.
- Strong interpersonal skills with a friendly and professional demeanor.
- Excellent organizational and time management skills.
- Ability to multitask and remain calm in a fast-paced environment.
- Strong computer literacy and ability to quickly learn new software.
- High attention to detail and accuracy.
- Reliable, dependable, and a collaborative team player.
Requirements
- Must be available to work evenings and/or weekends as required.
- Must be able to work in person from our Toronto Head Office (this is not a remote position).
- Ability to work a flexible schedule based on business needs.
- Must demonstrate active listening skills and the ability to handle challenging conversations with professionalism, patience, and discretion
- Must be legally entitled to work in Canada.
Preferred Qualifications
The following are considered strong assets:
- Previous dental administration or healthcare experience.
- Experience using Tracker practice management software.
- Experience with MaxAssist patient communication software.
- Experience working in a multi-location or high-volume scheduling environment.
