This role plays an important part in supporting the financial health of the company by ensuring accurate invoicing, timely payments, and positive customer relationships.

About the Role
The Accounts Receivable Specialist is responsible for managing customer billing, processing payments, maintaining accurate account records, and supporting strong cash flow for the business.
Because Willowbrook operates in a high-volume seasonalenvironment, this role works closely with several departments including sales, shipping, andoperations to ensure invoices, shipments, and customer accounts are accurate and up to date.

Seasonal Schedule:
This role follows the seasonal rhythm of the nursery industry. During our peak production months (April through September and part of October), the position is full-time, five days per week. During the winter months, when operations slow down, the schedule typically reduces to a few days per week, depending on business needs.
Key Responsibilities
Customer Billing & Invoicing
- Generate and review invoices related to plant shipments, freight, racks, tags, and other nursery-related charges
- Ensure billing is accurate and completed in a timely manner
Accounts Management
- Maintain accurate customer account records
- Reconcile account balances and investigate discrepancies when they arise
Payment Processing
- Process and apply customer payments including EFT, credit card, and cheque payments
- Ensure payments are applied correctly to the appropriate accounts
Credit & Collections
- Monitor aging reports and follow up on overdue accounts
- Communicate with customers regarding outstanding balances and payment schedules
- Support management of credit limits and payment terms
Credits & Adjustments
- Process credits related to plant claims, shortages, shipping issues, or quality concerns
- Work with sales, shipping, and production teams to verify claim details
Reporting
- Assist in preparing accounts receivable reports and aging summaries for management
Customer Communication
- Respond to customer inquiries related to billing or account questions
- Provide professional and timely communication to help resolve issues
Cross-Department Collaboration
- Work closely with sales, shipping, and operations teams to verify orders, pricing, and delivery details
Process Support
- Assist in improving internal procedures and systems related to accounts receivable and reporting
Qualifications
Education
- Diploma or degree in Accounting, Finance, or Business Administration preferred
Experience
- 1–3 years of experience in accounts receivable, accounting, or bookkeeping
- Experience in wholesale, distribution, agriculture, or horticulture is considered an asset
- Experience working with accounting or ERP systems
- Experience managing multiple customer accounts
Skills
- Strong attention to detail and accuracy
- Strong organizational and time-management skills
- Comfortable working with Microsoft Excel and accounting systems
- Strong communication skills with both internal teams and customers
- Ability to manage priorities in a fast-paced seasonal business environment
- Ability to work both independently and as part of a team

- Office-based role located at Willowbrook Nurseries in Fenwick, Ontario
- Regular collaboration with accounting, sales, and operations teams
