Position Objective
- Provide day-to-day administrative support to the Fleet Manager
- Submit claims and prepare reports for the Fleet department
- Provide backup support to sales reception.
- Sales & Fleet claim submissions.
- Sales & Fleet reporting.
- Track vehicle orders, ensure timely deliveries, and maintain accurate vehicle records
- Support sales reception when needed and manage email/phone communication for fleet sales
- Create and manage work orders, purchase orders, and licensing requisitions
- Prepare and maintain up-to-date billing, vehicle status reports, and department statistics
- Liaise with suppliers and internal departments to keep everything running smoothly
- Ensure compliance with safety policies and dealership standards
- Open and prepare work and purchase orders.
- Maintain accurate pricing and vehicle details.
- Prepare department statistics documents.
- Reports to management of any situation or condition that jeopardizes the safety, welfare or integrity of the dealership, its personnel, or guests.
- Responsible for adhering to all procedures and training established within the Quality Management System as they apply to specific activities, processes, and tasks.
- Maintains a high level of personal appearance consistent with the standards set by the dealership.
- Other duties as assigned.
Qualifications
- Previous administrative experience, ideally in a sales or automotive environment
- Strong customer service and communication skills
- High attention to detail and excellent time management abilities
- Confidence in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- A valid driver’s license
- Someone who thrives in a busy, team-oriented environment and is eager to learn and grow
