Overview
Under the general supervision of the Payroll & Benefits Manager, the Payroll Specialist supports the accurate coordination, processing and administration of full-cycle payroll for non-union employees across the United States (multi-state) and Canada. This role ensures timely and compliant execution of payroll activities including data-entry, processing, reporting, reconciliation, controls and records management while adhering to all federal, state/provincial and company requirements. The Specialist also provides support in the administration of employee benefits and pension programs and plays a key roll in payroll accounting activities. A particular emphasis is placed on U.S. payroll administration and multi-state compliance activities.
Accountabilities
- Coordinate and prepare full-cycle payroll for U.S. (multi-state) and Canadian employees, including new hires, status changes, terminations, taxable benefits, bonuses, allowances, per diems, manual cheques, and adjustments.
- Review and validate time clock entries for hourly employees, ensuring accuracy and compliance with internal policies.
- Maintain accurate and up-to-date employee payroll records, including banking details, deductions, benefits, tax information, and supporting documentation.
- Administer U.S. multi-state payroll requirements including appropriate tax jurisdiction setup and compliance.
- Administer Canadian payroll requirements including deductions and statutory remittances in alignment with provincial legislation.
- Support administration of recurring and specialized payroll activities such as annual salary adjustments, paid and unpaid leaves (e.g., short-term disability, parental leaves), and other employee compensation programs.
- Assist with payroll audits, system upgrades or enhancements, and year-end activities.
- Respond to routine payroll inquiries as assigned and provide timely, customer-focused support to employees and internal teams.
- Prepare semi-monthly payroll financial summaries and related reporting, payroll journal entries, reconciliations and funding activities.
- Support the administration of U.S. and Canadian benefits programs including health, dental, life insurance, long-term disability, and employee wellness or spending accounts.
- Assist with pension/retirement plan administration by maintaining accurate records and coordinating updates or enrollments.
- Partner with Talent & Culture, Accounting & Finance, and IT teams to ensure seamless, efficient, and accurate payroll operations.
Required Knowledge & Abilities
- Intermediate US payroll experience (multi-state, CA preferred) and familiarity with Canadian payroll.
- Experience with payroll systems (ADP Workforce Now payroll platform preferred) and time & attendance tools.
- Working knowledge of U.S. federal and state payroll requirements and Canadian payroll legislation.
- Intermediate proficiency in Microsoft Excel and strong overall system aptitude.
- Experience in benefits or pension administration is an asset.
- Possesses a high attention to detail, taking methodical steps to ensure accuracy in data entry, calculations, and record keeping.
- Ability to identify discrepancies, interpret payroll data, and resolve issues promptly.
- Demonstrates a high degree of integrity and discretion, handling confidential and sensitive information responsibly.
- Proven ability to maintain clear, professional, and service-oriented communication with employees and internal teams.
- Maintains a problem-solving mindset investigating and resolving issues independently and proactively.
- Manages time effectively with the ability to manage multiple deadlines in a fast-paced environment.
- Highly collaborative and flexible with the ability to work positively and effectively with the people and culture team, finance and IT.
- Ability to identify process improvement and automation opportunities within payroll and reporting.
