Job Summary
We are seeking a highly organized and detail-oriented Office Manager to oversee daily office operations and ensure smooth administrative functions. The ideal candidate will possess strong computer skills, excellent customer service abilities, and experience managing office procedures. This role involves managing front desk activities, coordinating administrative tasks, and supporting staff to maintain an efficient work environment. Prior experience with medical or dental offices is a plus, along with proficiency in various software tools such as QuickBooks, Microsoft Office, and Google Workspace.
Responsibilities
- Manage front desk operations including greeting visitors, answering multi-line phone systems, and providing exceptional customer support.
- Handle data entry, filing, and document proofreading to ensure accuracy and organization.
- Utilize QuickBooks for bookkeeping and financial record keeping.
- Maintain organized files both digitally and physically, ensuring easy access to documents.
- Coordinate appointment scheduling and patient or client communication in medical or dental office settings.
- Support administrative tasks such as typing correspondence, managing calendars, and preparing reports.
- Assist with billing, invoicing, and basic bookkeeping duties as needed.
- Ensure office supplies are stocked and equipment is maintained properly.
- Uphold professional phone etiquette and provide excellent customer service at all times.
Experience
- Proven clerical or administrative experience in an office setting.
- Experience working in medical or dental offices is highly desirable.
- Proficiency with QuickBooks, Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Docs, Sheets), and computer skills related to data entry and document management.
- Familiarity with front desk operations, multi-line phone systems, filing systems, and customer service best practices.
- Strong organizational skills with the ability to multitask efficiently.
- Excellent typing speed along with proofreading skills to ensure error-free documents.
