Northwest is looking for an Administrative Analyst in the Calgary Office. The Administrative Analyst supports the day-to-day operations of the Administration department through structured daily tasks, customer-facing communication, and cross-functional discrepancy resolution. The incumbent reviews and updates key operational tracking sheets daily, works through outstanding discrepancies to ensure accurate billing and payment, prepares and distributes weekly customer reports, and responds to customer inquiries as they arise. Order processing support is provided on an as-needed basis. The successful candidate will be highly organized, detail-oriented, and able to manage competing priorities while communicating effectively with internal teams and external customers.
Responsibilities:
Daily Administration
- Review and update operational tracking sheets each morning, ensuring all active discrepancies are accurately recorded and actioned
- Maintain the approvals log daily, entering and reconciling approvals in a timely and accurate manner
Discrepancy Resolution
- Review and prioritize outstanding discrepancies daily, coordinating with internal teams to ensure accurate billing and payment.
- Prepare and distribute discrepancy notifications to appropriate contacts; follow up to fully close out each Item
Weekly Customer Reporting and Balancing
- Prepare and distribute weekly commodity reports and customer balancing reports in accordance with established timelines
- Collaborate with internal teams to stay current on customer requirements and operational changes.Customer Inquiries & Order Processing Support
- Respond to inbound customer inquiries professionally and promptly, escalating issues as appropriate
- Assist with order processing on an as-needed basis to support the operations team during periods of increased volume
Qualifications:
- 2 or more years of experience in a similar role
- Strong multi-tasking and organizational skills
- Effective verbal and written skills to interact with internal and external clients
- Ability to investigate and resolve discrepancies independently and in collaboration with cross-functional teams.
- The ability to work in-office 5 days a week.
