Job description:
A Loving Spoonful is seeking a Programs Coordinator to be a part of a wonderful, fast-paced, and compassionate team. The position is full-time from Monday to Friday, 9am – 5pm, and reporting to the Operations Manager. Occasional evening and weekend work will be required. The position includes a generous benefits package after 6 months of employment.
The Organization:
A Loving Spoonful is a very dynamic not-for-profit organization. We are a volunteer-driven, charitable society delivering free meals and nutritional support to individuals and families living with HIV and other co-existing illnesses, as well as supporting vulnerable populations with subsidized meal support. We are seeking a passionate Programs Coordinator who will join our dedicated and high energy team. A Loving Spoonful will be expanding in the near future and there is potential for the right candidate to grow their role and position within the organization.
Qualifications and the Candidate:
This is a diverse role in a fast moving environment. We are seeking a self-motivated individual with some previous experience in a related role, who is organized, resourceful, energetic and excited to be a part of an important community organization.
Programs
- Manage client inquiries including meal deliveries and pick ups
- Work with high-risk clients and applicants to assist them to be successful at adhering to the terms of service
- Administer client intake and review meetings and maintain client database as well as statistics for internal and external reports
- Management and inventory control of perishable and non-perishable donated goods
- Weekly orders of perishable goods such as produce and dairy products
- Ordering of shelf stable items
- Record all donated in-kind items
- Participate in evaluation of programs including updating forms and procedures and statistics
- Liaise with community agencies to coordinate service and to educate referral sources about our mission, mandate and eligibility criteria
- Manage client data base “MealService”
- Updating meal ingredient lists
- Manage & log emergency food requests
Warehouse
- Some warehouse work which requires physical labour and lifting
- Management of cold/dry storage
- Manage assembly of client meals and snack packs with the assistance of volunteers
Office
- Answer phones and front door buzzer as needed
- Ensure couriered packages/shipments are received as needed
- Ensure building is open for 9am and closed down at 5pm
Driving
- Valid BC driver’s license required
- Access to own vehicle or membership in a car sharing organization required
- Ability to drive organization cargo van for pick-ups and deliveries if required
Volunteer Coordination Assistance
Work closely with community engagement coordinator to:
- Organize and maintain volunteer statistics
- Provide leadership to, train and manage warehouse and programs volunteers
- Manage volunteer drivers and their criminal record checks
- Manage Tuesday meal packing volunteers
- Manage food portion/packing volunteers
Other Duties and Skills
- Ability to work well with a wide range of clientele, volunteers, stakeholders, etc.
- High level interpersonal skills an asset
- Be flexible, resourceful and possess good time management skills
- A self-starter with an ability to work independently, as well as within an established framework
- A personal resilience combined with a compassionate, insightful, respectful perspective towards all individuals without bias or discrimination
- Some evening and weekend work is required
- A criminal record clearance is required for this role
- Other duties as required

Hours of Work:
The hours of work are Monday –Friday, 9am -5pm. Punctuality is important as this position is required to open and close the office. Hours will occasionally vary based on scope of work during certain times of the year. Weekend and evening work will be occasionally required.
Salary and Benefits:
There is a 6 month probationary period, after which the successful candidate is eligible for health and dental benefits. A total of three weeks’ vacation time is accrued during the first 12 months of work. Salary is competitive and negotiable and based upon experience related to this role.
Pay: $55,000.00-$60,000.00 per year
