Our client is a leading law firm with a strong national presence. They are seeking a Specialist, CMS Services to join their Matter Lifecycle team and support the integrity and performance of their legal practice management system.

The Job
As a Specialist, CMS Services, you will play a critical role in ensuring the accuracy, consistency, and integrity of data across the firm’s systems.
Your key responsibilities will include:
- Manage special rate implementation for clients and matters, ensuring accurate application across the system
- Maintain and update the special rates database, ensuring ongoing accuracy and compliance
- Conduct regular audits to ensure adherence to billing rate guidelines and internal controls
- Manage user provisioning within Aderant, including onboarding, role changes, and access updates
- Liaise with IT to ensure appropriate access controls, permissions, and security standards are met
- Provide end-user support for Aderant, troubleshooting access and system-related issues
- Perform high-volume, accurate data entry across matters, clients, billing rates, and related records
- Validate and reconcile data to ensure integrity across imports and exports within Aderant
- Oversee data imports/exports and perform quality checks to identify and resolve discrepancies
- Collaborate with Finance, IT, and legal teams to resolve data issues and improve processes
- Support and contribute to user training on system processes and best practices
- Liaise with vendors to log issues, track enhancements, and follow up to resolution
What you bring to the job
The ideal candidate is highly analytical, detail-oriented, and comfortable working with complex data systems. You also bring:
- Post-secondary education in a related field (preferred)
- 3–5 years of experience in an office or data-focused environment
- Experience with Aderant or similar legal practice management systems (strong asset)
- Strong proficiency in MS Office, particularly Excel
- Excellent attention to detail and data accuracy skills
- Strong organizational and time management abilities
- Analytical thinking and problem-solving capability
- Clear communication and strong interpersonal skills
- Familiarity with legal billing or special rate structures is an asset
