Overview
We are seeking a detail-oriented and organized Office Administrator to join our team. This role is vital in ensuring smooth daily operations within our office. The ideal candidate will possess strong administrative skills, excellent communication abilities, and proficiency with various office software. Experience with recruitment, QuickBooks, and multi-line phone systems is highly desirable. The Office Administrator will serve as the first point of contact for clients and staff, managing a variety of clerical and support tasks to maintain an efficient workplace.
Responsibilities
- Manage front desk duties including greeting visitors and answering multi-line phone systems with professionalism and courtesy
- Perform data entry, filing, and record keeping to ensure accurate documentation of office activities
- Utilize Microsoft Office Suite for correspondence, reports, and scheduling
- Handle appointment scheduling and coordinate meetings for staff and clients
- Maintain organized files both digitally and physically, ensuring easy retrieval of information
- Provide exceptional customer service by addressing inquiries promptly and professionally
- Proofread documents for accuracy and clarity before distribution
- Perform clerical tasks such as photocopying, scanning, and mailing
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Strong computer skills with the ability to learn new software quickly
- Excellent organizational skills with keen attention to detail
- Effective communication skills including phone etiquette and customer support experience
- Ability to handle multiple tasks efficiently in a fast-paced environment
- Typing speed and accuracy for data entry and document preparation
- Previous clerical or administrative experience in an office setting
- Ability to proofread documents thoroughly for errors and consistency
- Strong organizational skills to manage filing systems both digitally and physically
