Quality & Operations Coordinator
Dream Hospitality Travel Services LTD
Dream Hospitality Travel Services LTD is a growing short-term rental management company operating a portfolio of vacation properties throughout Southwestern Ontario. We are looking for a highly organized, detail-oriented Quality & Operations Coordinator to join our Central Operations Department.
This is a hands-on operational role for someone who takes pride in details, enjoys working independently, and understands that the small things make a big difference in a guest's experience.
You will work closely with our Central Operations Officer (COO), housekeeping teams, maintenance personnel, and contractors to ensure our properties are clean, properly maintained, fully stocked, and ready for every guest arrival.
The Role
The Quality & Operations Coordinator is responsible for the quality-control and follow-through side of our daily operations.
While the COO coordinates the overall operation, your role is to make sure the work being completed in the field meets our standards.
Your primary responsibility will be conducting post-clean inspections of our properties and identifying anything that needs to be corrected before a guest arrives.
Key Responsibilities
Quality Assurance & Property Inspections
- Conduct post-clean inspections of vacation rental properties.
- Ensure properties meet company cleanliness, presentation, and readiness standards.
- Check bathrooms, kitchens, bedrooms, living spaces, outdoor areas, pools, hot tubs and amenities.
- Verify that supplies and guest amenities are properly stocked.
- Identify cleanliness, maintenance, damage, or presentation issues.
- Take photographs and document deficiencies.
- Communicate required corrections to the appropriate team member.
- Follow up to ensure deficiencies are corrected.
- Re-inspect properties when necessary before clearing them for guest arrival.
- Conduct periodic spot inspections and quality-control audits.
Operations Support
- Monitor the progress of property turnovers.
- Assist the COO with daily operational priorities.
- Follow up with housekeeping teams regarding incomplete or missed items.
- Coordinate with maintenance staff and contractors when issues are identified.
- Track outstanding operational tasks.
- Assist with scheduling and administrative duties.
- Maintain accurate inspection and deficiency records.
- Track recurring property issues and bring them to management's attention.
- Maintain supply and inventory records.
- Assist with preparing properties for busy turnover periods and holidays.
What We're Looking For
The ideal candidate is someone who is extremely detail-oriented and naturally notices things other people overlook.
You should be comfortable walking into a property and immediately identifying what needs attention—from a missed cleaning detail to a missing amenity, maintenance issue, damaged item, or something that simply doesn't meet our presentation standards.
We are looking for someone who is:
- Highly organized and reliable.
- Detail-oriented with high standards.
- Comfortable working independently.
- Confident communicating with staff and contractors.
- Able to prioritize multiple issues at once.
- Comfortable using a phone/tablet to document inspections and tasks.
- Professional and respectful when dealing with housekeeping and maintenance teams.
- Able to work in a fast-paced environment.
- Willing to be hands-on and physically visit properties throughout the day.
- A strong problem solver who follows issues through to completion.
- Comfortable working outdoors and inspecting properties in all seasons.
Previous experience in property management, hospitality, housekeeping supervision, quality control, construction, maintenance coordination, or a similar operational role is an asset.
What matters most is attention to detail, accountability, organization, and the ability to follow through.
Schedule
This is a part time leading to full time position with a target of approximately 40 hours per week.
Because our business is busiest around guest turnovers, the schedule will be structured around operational demand rather than a traditional Monday–Friday schedule.
The position will generally have later start times than the Central Operations Officer, allowing the Coordinator to be available when housekeeping teams begin completing their work and inspections are required.
The schedule will include regular weekend coverage, particularly on Friday and Sunday, our highest-volume operational days.
Hours may occasionally increase during exceptionally busy periods, holidays, major turnover days, or operational emergencies.
How the Central Operations Team Works
The department operates as a coordinated team:
COO Plans & Coordinates
↓
Housekeeping / Maintenance / Contractors Execute
↓
Quality & Operations Coordinator Inspects
↓
Deficiencies Are Corrected
↓
Coordinator Verifies
↓
Property Cleared for Guest Arrival
The COO maintains overall operational oversight, while the Quality & Operations Coordinator provides the hands-on quality-control layer that ensures nothing gets missed.
Why Join Dream Hospitality?
This is an opportunity to become an important part of a growing hospitality operation where your work has a direct impact on the guest experience.
You won't simply be checking boxes. You'll play a key role in maintaining the standards of a growing portfolio of vacation properties and helping build better systems as the company continues to grow.
If you are the type of person who notices the crooked picture frame, the missing coffee pods, the dirty baseboard, the light bulb that's out, or the hot tub that isn't quite ready—and you actually want to do something about it—we'd like to hear from you.
