We are seeking a billingual, professional, organized, and customer-focused Receptionist to join our on-site condominium management office. This position serves as the first point of contact for residents, owners, contractors, and visitors, while providing administrative support to the Property Manager and Condominium Administrator in the daily operation of a busy two-tower residential condominium community.
The ideal candidate will possess strong communication skills, excellent attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Language Requirement
As this position serves a diverse residential community, the successful candidate must be able to communicate professionally and effectively with residents, owners, contractors, and service providers in both official languages. Candidates must be fluent in English and French, with strong written and verbal communication skills in both languages.
Key Responsibilities
Reception & Resident Services
- Greet residents, owners, visitors, and contractors in a professional and courteous manner.
- Answer and direct incoming telephone calls.
- Respond to resident and owner inquiries via email, telephone, and in person.
- Assist residents with general information regarding building policies, procedures, and amenities.
- Receive and distribute office correspondence and deliveries.
Administrative Duties
- Maintain and organize electronic and physical filing systems.
- Update and maintain owner and resident records and contact information.
- Prepare notices, letters, and resident communications as directed.
- Assist with data entry and record keeping.
- Support the Property Manager and Administrator with various daily administrative tasks.
Bookings & Scheduling
- Manage amenity bookings, including party rooms and other shared facilities.
- Coordinate elevator reservations for resident move-ins, move-outs, and deliveries.
- Maintain booking schedules and ensure compliance with building procedures.
Contractor & Vendor Coordination
- Coordinate contractor and vendor access to the property.
- Maintain contractor sign-in/sign-out records where applicable.
- Assist with scheduling and communicating maintenance and repair work.
- Liaise with contractors, residents, and management regarding access and scheduling requirements.
General Office Support
- Monitor office supplies and coordinate ordering as required.
- Assist with organizing meetings, events, and resident communications.
- Maintain confidentiality of resident and corporate information.
- Perform other duties as assigned to support the efficient operation of the condominium corporation.
Required Qualifications
- Previous experience in reception, customer service, administration, or property management is preferred.
- Excellent French and English verbal and written communication skills.
- Strong organizational and time-management abilities.
- Proficiency in Microsoft Office (Outlook, Word, Excel) and general office software.
- Ability to multitask and prioritize competing demands.
- Professional demeanor and customer-service-oriented attitude.
- Ability to work independently and as part of a team.
- Experience in condominium, property management, or real estate environments is considered an asset.

Pay: $22.00-$23.50 per hour
