Position Overview
The Facilities & Maintenance Manager is responsible for the ongoing operational integrity, maintenance coordination, and preventive maintenance planning of retail fuel stations, associated convenience store, car wash and quick serve restaurant assets. This role ensures company sites remain safe, fully operational, compliant, clean, and customer-ready at all times. The Manager will select, engage, and coordinate third-party contractors and service vendors. This role requires a strong focus on preventative maintenance, vendor accountability, cost control, emergency response coordination, and operational uptime.
Duties and Responsibilities:
- Oversee fuel systems, facility equipment, and maintenance programs to ensure safe, reliable operations
- Coordinate preventive and reactive maintenance, prioritizing work based on operational impact and safety risk
- Respond to equipment failures, fuel outages, environmental alarms, and emergency situations
- Manage vendors and contractors, ensuring service quality, safety compliance, and adherence to agreements
- Review quotes, approve work within authority, and ensure invoice accuracy
- Monitor maintenance budgets and expenditures, identifying cost-saving opportunities and efficiencies
- Support capital planning and equipment lifecycle management
- Ensure compliance with environmental, safety, and regulatory requirements, maintaining accurate documentation
- Conduct site inspections, identify deficiencies, and coordinate timely corrective actions
- Maintain maintenance records, service histories, and warranties
- Support site teams during operational issues, weather events, and after-hours incidents
- Collaborate with internal stakeholders, site operators, and leadership to ensure smooth multi-site operations
Qualifications:
- University Degree or College Diploma in Business Administration or a related field (or equivalent combination of education and experience)
- 3–5 years of experience in facilities maintenance coordination, petroleum operations, retail fuel, convenience retail, or multi-site operations management
- Experience managing external contractors and service vendors
- Knowledge of fuel station infrastructure and petroleum equipment considered a strong asset
- Experience with preventive maintenance systems and work order platforms
- Ability to manage multiple sites and competing priorities in a fast-paced environment
- Proficient with Microsoft Excel, Word, and PowerPoint
- Strong budgeting, organizational, and problem-solving skill
- Strong attention to detail and accuracy
- Positive attitude with a willingness to learn and take initiative
- Ability to work both independently and collaboratively
- Excellent communication and vendor negotiation abilities
- Demonstrated discretion and professionalism when handling confidential information
- Valid driver’s license and ability to travel to operating sites as required
