We're currently looking for a highly organized, detail-oriented Administrative Assistant to join our team.
The Opportunity: This is far more than a traditional administrative role.
As our Administrative Assistant, you'll be an integral member of our administrative and finance team, supporting payroll, bookkeeping, reporting, office administration, and senior leadership. You'll work closely with our Finance and Payroll Administrator while providing administrative support across multiple departments.

What You'll Be Doing
Your responsibilities will include:
- Providing administrative support to the Executive Director and Leadership Team
- Preparing correspondence, reports, meeting agendas, minutes, and presentations
- Coordinating meetings, appointments, travel arrangements, and room bookings
- Supporting bookkeeping functions including coding invoices, reconciling accounts, processing payments, and preparing financial reports
- Tracking budgets, petty cash, purchase orders, and organizational expenditures
- Maintaining employee records, seniority lists, vacation banks, sick leave, and other administrative records
- Providing payroll coverage during vacations and other absences
- Processing payroll remittances including CPP, EI, Income Tax, WCB, pension, and union dues
- Assisting employees with payroll and benefit inquiries
- Maintaining databases and producing reports using Microsoft Office, particularly Excel
- Tracking mandatory employee training, onboarding, certifications, and accreditation requirements
- Communicating professionally with staff, community agencies, government partners, and the public
- Assisting with special projects and other administrative duties as required
We're Looking For Someone Who Is:

✔ Professional, approachable, and committed to confidentiality
✔ A strong communicator who enjoys working with people
✔ Self-motivated while also thriving as part of a collaborative team
✔ Experienced with bookkeeping, payroll, and office administration
✔ Proficient with Microsoft Office, especially Excel, Word, Outlook, and PowerPoint, with preferred experience in Payworks (payroll, HR)
Qualifications
You'll bring:
- Grade 12 plus up to two years of post-secondary education in bookkeeping, payroll, business administration, office administration, or a related field
- A minimum of two years of recent related experience, or an equivalent combination of education and experience
- Strong organizational, computer, and communication skills
Successful applicants must be able to obtain or maintain:
- Criminal Record Check (CRRP)
- Minimum of 3 reference checks, including most recent employer
- Occupational First Aid Certificate
- FOIPPA Foundations Certification
- Required NOYFSS training certifications
