Maple Builders is a growing Edmonton-based real estate development, construction, and property management company. We are seeking an organized and proactive Operations & Bookkeeping Coordinator to join our team.
This role combines bookkeeping, business operations, and growth support, with a primary focus on maintaining accurate financial records and providing ownership with clear visibility into the company's financial position. The successful candidate will also assist with business systems, administrative processes, marketing initiatives, and strategic growth projects as we continue to expand.
The ideal candidate is detail-oriented, highly organized, comfortable working independently, and excited about helping build scalable systems within an entrepreneurial and fast-growing company.
Responsibilities
Bookkeeping & Financial Reporting
- Maintain bookkeeping records in QuickBooks Online
- Enter invoices, receipts, and expenses
- Reconcile bank and credit card accounts
- Track accounts payable and receivable
- Maintain organized financial records and supporting documentation
- Assist with GST and year-end accountant requirements
- Prepare weekly financial dashboards and cash summaries
- Track project costs and budgets at a high level
Operations & Administration
- Manage and update rental management software
- Maintain company files, trackers, and internal systems
- Coordinate administrative follow-ups with trades, consultants, and service providers
- Assist with implementation plans and business process improvements
- Help organize priorities, follow-ups, and recurring tasks
Growth & Marketing Support
- Update company website content
- Assist with social media management and content scheduling
- Prepare presentations and graphic materials
- Research and share relevant industry news, market trends, and opportunities
Qualifications
- Strong organizational skills and attention to detail
- Ability to work independently and manage multiple priorities
- Strong proficiency with spreadsheets and financial information
- Experience with QuickBooks Online
- Experience in bookkeeping, real estate, property management, business administration, or operations coordination is considered an asset
Preferred Software Experience
- QuickBooks Online
- Microsoft Excel / Google Sheets
- Google Workspace
- Canva
- ClickUp or similar project management software
- Buildium, DoorLoop or similar property management software
Position Details
- Part-time contractor position, with potential to grow into a larger role in the future
- Approximately 10-20 hours per week (initial expectation of ~15 hours/week)
- Primarily remote with flexible scheduling, and occasional site visits required
- Compensation: Negotiable based on experience
