The Program Coordinator (Ready to Work) efficiently and effectively takes full responsibility for the day-to-day administration and execution of the project. This includes day-to-day operations, supervision of project staff, job development, and facilitation of workshops, financial management, attending meetings in the community and at WSNCC. The coordinator will be responsible for the monthly preparation of reports and collection and collation of reports required by the funder. This position will report to the funder as needed and assume responsibility for adherence to the service agreement as laid out in the contract. This staff will provide back up for project staff during vacation/sick leaves.
The Employment Program Coordinator will ensure that all work is carried out within the context of the agency’s Mission statement, board approved policies and organizational practices.
This is a temporary full-time position to cover an employee leave.
Responsibilities:
- Responsible for the day-to-day administration of the program.
- Interviews clients to obtain history and background information that is relevant to their full participation in the program.
- Assesses clients’ relevant skills and strengths as well as identifying deficits.
- Makes the final determination in the selection of clients for participation.
- Submits on-line Participant Information Forms to Service Canada and updates participant on-line files as required by service agreement.
- Prepare reports for funders, as requested by the Divisional Manager
- Researches and maintains a current list of eligible training service providers. Monitors are the same for eligibility and compliance with project standards and requirements.
- Oversees and negotiate payment of wages to eligible employers. Monitors participant attendance and mediate any issues that may arise with respect to participation and/or workload.
- Prepares and delivers one on one skills workshops to program participants. These include but are not limited to; Changing nature of current labour markets, time management, professionalism in the workplace, understanding career paths, preparing for a job search, job search skills, researching potential employers, networking, cold calling, resume writing and application forms, cover letters, use of internet to submit resumes online, interviewing skills, job maintenance and retention skills, diversity in the workplace, and lifelong learning.
- Works with Program Assistant find appropriate work placements relative to the participant’s post-secondary education.
- Monitors placement experience and provide clients with financial support as needed. Also provides counselling while in work experience.
- Maintains a record of expenditures as they relate to participant/employer expenses and reports monthly to Divisional Coordinator as to the status of the cash flow.
- Advocates on behalf of the program’s participants with other community agencies, outreaches and presents program information on site and in community agencies; provides evaluation of program activities by collecting on going statistics, monthly reporting and participant feedback.
- Attends community meetings as required to ensure that information about the program is widespread.
- Mediates issues that may arise between staff/clients, client/employer. Maintains proper documentation of these incidents as required by legislation and agency requirements. Reports on these meetings to Divisional Manager.
- Evaluates the progress of the program and ensures adherence to budgets and timelines.
- Answers phones, provide information about the project, book appointments to meet clients as needed.
- Attend meeting at West Scarborough Neighbourhood Community Centre as needed. Informs Programs Manager of relevant information, details, concerns, etc with respect to the administration of the project.
- Attends and participates in Centre's Annual General Meeting, annual United Way fundraiser, and Volunteer Recognition Night.
Supervisory Responsibilities:
May supervise Program Assistant if funding permits.
Work Schedule:
Typically, 40 hours per week, additional hours as required to meet needs of program.
Qualifications:
- Strong experience in Job development and employment counselling. Strong information in Toronto’s regional and local labour markets. Strong organizational and leadership skills.
Experience: In addition to demonstrating full mastery of the technical role, has been exposed to administrative/managerial functions of the Security Guard Training Program. This will include:
- Possession of a Security Guard License
- Experience working as a security guard
- Familiarity with ministry protocols and The Private Security and Investigative Services Act (PSISA)
- Booking exams and submissions for Licenses
