The Administrative/Nursing Assistant reports to the Director of Care and is responsible for supporting the day-to-day administrative operations of the Home, including nursing administration and information technology coordination.
Wage Rate:
The starting annual salary is $55,000.

Responsibilities:
Administrative & Nursing Support

Completes and maintains scheduling and payroll for all nursing personnel.

Supports the Executive Director and Director of Care with payroll for all non-union personnel.

Prepares and distributes nursing department communications under the direction of the Director of Care.

Assists with variance reporting for staffing hours.
-
Maintains nursing absenteeism reports.
-
Supports recruitment, orientation, and retention initiatives.
-
Submits documentation, reports, and financial information as requested.
-
Maintains records management systems.
-
Responsible for Administration and Nursing human resources performance indicators.
-
Ensures appropriate staffing patterns and effective utilization of staff and resources.
Quality, Standards & Compliance
-
Ensures compliance with CARF Canada standards and long-term care guidelines.
-
Demonstrates a working knowledge of the Collective Agreement, Employment Standards Act, Labour Relations Act, and Occupational Health & Safety Act.

Educates staff on Ministry of Health standards, CQI initiatives, new policies and procedures, and related topics.

Monitors documentation systems and processes for quality and adherence to standards.

Understands and contributes to improving quality indicators, including publicly reported indicators.
Information Technology Support

Assists with the Home’s annual budget related to IT services.

Coordinates IT contract services, ensuring timely service and issue resolution.

Provides ongoing software and technology support to employees.

Plans, organizes, directs, and evaluates information systems operations.

Analyzes and establishes technology objectives for the organization.

Responsible for IT performance indicators and continuous quality improvements.
Team & Leadership Participation
-
Participates in management team meetings, the Leadership and Governance Team, the Joint Nursing Administrative Assistants Committee, and the Nursing Management Team.

Demonstrates effective problem-solving, conflict resolution, and team-building skills.

Contributes to fostering a positive and collaborative work environment.

Performs other duties as assigned or outlined in the Job Task Inventory.
Qualifications:
The qualifications needed to join our family are as follows:

High School graduate or G.E.D. with demonstrated skills in typing and mathematics.

Nursing background is an asset.
-
Information Technology background preferred.

Strong working knowledge of computer hardware/software and high comfort level using digital systems.

Proficiency in Google Platforms

Experience with IT support and troubleshooting

Long-term care experience is an asset.

Expedient data entry skills

Ability to accurately understand, interpret and uphold Collective Agreements and/or policies

Expedient data entry skills.

On-the-job training in business office procedures in this facility.

Must provide a current (within six months) Vulnerable Sector Check, including a Criminal Background Check, or be willing to obtain one

Must provide TB testing results (within the last six months or within 14 days upon hire) or a chest X-ray (within the last year), as per Public Health requirements

Two supervisory references required
