ADMINISTRATIVE AND RESEARCH OFFICER
The High Commission of Malta in Ottawa is looking to engage a well-organised, creative, highly enthusiastic, and ideally, experienced individual in the role of Administrative and Research Officer. They will join a dynamic and dedicated team to facilitate and contribute to Maltese - Canadian relations.
The employee should expect to fulfill the following tasks:
· Managing the High Commissioner’s schedule, correspondence, and daily administrative affairs, serving as the primary point of contact between the High Commissioner and external stakeholders, while ensuring the smooth coordination of diplomatic engagements and confidential communications.
· Monitoring correspondence and developments related to bilateral and multilateral work carried out by the High Commission. Briefing the Head of Mission on such correspondence and developments and submitting necessary reports in writing;
· Conducting research, preparing briefing notes, drafting statements and opinions related to the bilateral and multilateral tasks of the High Commission;
· Assisting in the preparation of events, seminars, dinners, and receptions hosted by the High Commissioner / High Commission and performing other duties at these functions;
· Filing of correspondence; maintenance of High Commission archive drafting of letters; handling incoming and outgoing mail including the generic email inbox; servicing general enquiries from the public; screening of calls (personal and telephone); taking messages and minutes; running minor errands; effecting purchases; general research; assisting in maintaining leave records and the High Commission and Residence inventories;
· Operating personal computer, telephone, photocopier, and other normal office machinery and equipment as may be installed from time to time;
· Assisting with telephone and written enquiries, servicing the public visiting in person, compilation and storage of data;
· Assisting the High Commissioner and Consul in the delivery of Consular Services and in related documentation;
· Assisting with the preparation of monthly accounts, including the maintenance of the cash book and effecting payments, inputting data into the relative accounting systems, handling cash and preparation of paysheets;
· Replacing other locally engaged staff during their absence, including during periods of vacation leave and sick leave and as may be required;
· Other duties in line with the contract of employment, as requested by the High Commissioner pertaining to the functions carried out by the High Commission.
Qualifications, skills and experience
- Written and spoken fluency in English and French
- A minimum of a Bachelor’s Degree ideally in a field related to International Affairs/Politics
- Understanding of Canadian, Maltese, and EU relations and political institutions
- Ability to effectively research complex issues
- Good reporting skills
- Experience working with Microsoft tools
- Excellent Communication and social skills
- Experience in an international environment is considered an asset
