POSITION SUMMARY:
The Scheduling and Customer Service Associate is responsible for the efficient coordination of all appointments according to designated production time line.
JOB DUTIES & RESPONSIBILITIES:
- Schedule appointments according to production time lines
- Notify and confirm scheduled appointments with the customer
- Check and respond to all voice/email messages and inquiries efficiently, in a timely manner promoting a positive experience for the customer
- Investigate, respond and resolve any questions or concerns related to schedules, direct customers to the appropriate department to respond to requests unrelated to scheduling
- Prepare and email paperwork to technicians
- Coordinate with all departments to ensure efficient scheduling and coordination of all appointments according to designated production time line
- Work alongside and cross train with peers in department to coordinate all schedules
- Maintain customer records
- Complete assigned paperwork as required by the Supervisor
- All other tasks as required by the Supervisor
QUALIFICATIONS:
- 2 years experience in a customer support and/or scheduling role
- 2 to 4 years administration experience
- Strong knowledge of stone fabrication
- Proven ability to take initiative and be an independent thinker
- Ability to prioritize own workload to meet time sensitive deadlines
- Excellent verbal, written communication and interpersonal skills
- Strong organizational skills with problem solving skills
- Strong customer service skills with the ability to multi-task
- Excellent phone etiquette with the ability to explain details
- Confident working in a fast-paced environment
- Ability to work individually and as a team member
- Capable of speaking with all levels of staff and customers sensitively, tactfully, diplomatically and professionally
- Excellent time management skills with the ability to prioritize workload and meet time sensitive deadlines
- Knowledge of interior design, construction and/or kitchen and bath considered an asset
- Ability to work over time as needed
WORKING CONDITIONS:
- Will spend long periods in an office setting, sitting using office equipment and computers
- Ability to lift 30 lbs. of supplies and/or materials from time to time
- General knowledge of desktop computers
- Personal Protective Equipment – safety boots, safety glasses, hearing protection when on production floor
