We are currently seeking a dedicated and professional Secretary/Receptionist to join our team. This full-time position is essential to the smooth operation of our front office and provides valuable support to our administrative team.
Key Responsibilities:
The successful candidate will report directly to the Manager and will be responsible for a variety of administrative and front desk duties, including:
- Greeting tenants and visitors, helping or directing them as needed
- Managing the daily flow of faxes, emails, and messages also from the after-hours answering machine
- Operating a multi-line switchboard professionally by transferring calls or taking messages
- Handling all incoming and outgoing departmental mail
- Preparing tenant correspondence, including typing, formatting, photocopying, and mailing letters.
- Filing and maintaining tenant records both paper and electronically (for current and former tenants)
- Tenant Lease and Subsidy Agreements, including renewing tenancy agreements, rent calculations, processing paperwork for new tenants, and preparing RTB “Notice of Rent Increase” (training will be provided).
- Daily input and editing work orders from tenants, administrative staff, and maintenance staff
- Preparing and inputting data for annual reports such as Property Tax Bills, Project Data Reports, Smoke Alarm Inspections, and Furnace Inspections (training will be provided)
- Subsidy Billing -Preparing and inputting tenant lease agreements and subsidy agreements
- Providing additional administrative support to other staff as required
Qualifications & Skills:
- Minimum 1 year of experience in an administrative or secretarial role within a fast-paced environment
- Strong organizational skills and the ability to manage multiple tasks and meet deadlines
- Ability to work independently with minimal supervision, as well as part of a collaborative team
- Excellent written and verbal communication skills
- Professional demeanor with strong interpersonal skills
- Proficiency in Microsoft Windows applications, including Word, Excel, and Outlook (mandatory)
