The
Customs Coordinator is responsible for processing air and truck import shipments, ensuring full compliance with CBSA regulations, providing exceptional customer service, and supporting ongoing CARM implementation requirements. This role requires accuracy, attention to detail, and the ability to manage multiple files simultaneously.

Process air import shipments from freight forwarders, warehouses, and direct clients.

Arrange terminal fees, storage charges, and required handling.

Coordinate and track final deliveries.

Manage and process all ITL air shipments in accordance with internal SOPs.

Process truck documentation and clearances for all participating carriers.

Communicate with carriers to prevent delays, excessive wait times, or unnecessary bond usage.

Handle special entry types: paper packages, V-type entries, RMD files, and CBSA inquiries.

Follow up with CBSA, clients, and carriers to resolve pending issues.

Prepare, verify, and issue invoices for completed customs entries.

Monitor invoice payments to ensure timely settlement.

Reconcile invoices against CADs and confirm accurate billing.

Notify and guide clients through CARM phases and onboarding.

Follow up to ensure client compliance with registration and interim procedures.

Manage one-time importer shipments including account setup, document collection, and clearance.

Ensure invoices are fully paid and files are completed.

Process B2 correction requests and monitor status updates.

Follow up on CBSA approvals and next steps.

Handle shipments requiring clearance during evenings, weekends, or holidays.

Ensure timely communication to avoid delays, storage fees, or penalties.

Collaborate with Portway and other third-party service providers to ensure accurate and timely entry submission.

Review submitted files for accuracy and compliance.

Apply correct tariff classification, valuation, origin, and trade program eligibility.

Track releases, CADs, and post-release adjustments.

Maintain organized, audit-ready records.
-
Identify operational inefficiencies and recommend improvements.

Participate in training, system updates, and compliance workshops.

Perform additional tasks as assigned by management.

Previous experience in customs brokerage or logistics is an asset.

CCS certification or progress toward certification is an advantage.

Strong understanding of CBSA processes, customs documentation, and import procedures.

Excellent communication and customer service skills.

High level of accuracy, organization, and attention to detail.

Ability to manage multiple shipments and priorities in a high-volume environment.

Proficiency with customs systems (e.g., CADEX, RNS, CARM) is preferred.
